Position Summary

San Francisco Day School seeks a Faculty and Employee Relations Coordinator. This role is multifaceted, encompassing human resources, compensation management, compliance, and benefits administration. Additionally, this candidate will oversee talent acquisition, employee relations, and performance management. The Faculty and Employee Relations Coordinator reports to the CFO and works in partnership with all members of the Admin Council.

Responsibilities for this position:

The Faculty and Employees Coordinator plays a key role in supporting the staff, faculty, and volunteers of San Francisco Day School with Human Resources functions and serves as a key advisor to senior leadership, helping to shape and execute strategies that support the overall mission and vision of the school. The Manager will be responsible for the following areas:


Compensation and benefits

  • Lead the annual employment agreement process ensuring agreements are updated and delivered appropriately, tracking final approval and signatures for each new agreement yearly.
  • Responds to benefit questions and supports employees with special and unusual circumstances.
  • Manage annual open enrollment process and new hire enrollments and terminations
  • Manage relationships with insurance brokers along with the CFO.
  • Manage workers' compensation audit and annual renewal.
  • Work closely with TIAA on 403(b) plan management including but not limited to participating in the school’s retirement plan committee and managing the annual audit of the plan.
  • Manage quarterly reporting and submissions of the SFHCSO.
  • Manage annual reporting, IE; EEO-1, CA PayData, DEFH CA, CMS-Medicare, 1096 filing, and 5500 filings.
  • Work closely with employees who need to navigate leave of absence, including help with understanding disability and other state and local benefits.
  • Responsible for the accuracy of Employee Record Files.
  • Respond to all CA EDD correspondence.
  • Annual process of faculty housing contracts.
  • Assist the Business Office during the Financial Audit, 403(B) Audit, Worker’s Compensation Audit and HR audit, and processing of surveys for all associations the school is a member of

Understand Human Resources, Benefits, Payroll Processing and Employee Compensation

  • Semi-monthly payrolls.
  • Time and attendance and time-off accruals.
  • 403B payroll contributions with TIAA in a timely manner.
  • 457(b) and (f) contributions with TIAA.
  • Payroll deductions.

Talent Acquisition

  • Work with Managers on hiring plans, job descriptions, salary requirements, and assist in posting job advertisements, reviewing resumes and checking references. Consult with supervisors about leading candidates.
  • Onboard new hires with appropriate documentation and conduct new hire training.
  • Offboard employees and compile exit packet; ensure exit interview completion.

Employee Relations

  • Develop, coordinate and implement policies and training that contribute to a positive and compliant work environment while supporting the school's strategic initiatives.
  • Provide training to Managers to conduct job performance reviews.
  • Mentor Managers/Supervisors on navigating employee relations issues and conflict resolution and provide training opportunities to management.
  • Assist Managers in creating clear documentation, guidance, and follow-through, when performance management plans are required.
  • Respond to all employee complaints in a timely manner, in compliance with government employment laws and SF DAY policies.
  • Work closely with insurance broker and legal counsel as needed regarding assisting employees on leave of absence requests, disability insurance payments, and notifications.
  • Periodically review personnel policies and procedures and oversee the publication and maintenance of the employee policy handbook annually.
  • Up to date on Human Resource and employment best practices and seeks to continuously improve Human Resource processes and systems.

HRIS/Employee information management

  • Responsible for overseeing the effective use of the Paylocity system.
  • Responsible for reporting and providing necessary information for annual budgeting, benefits, and financial audits.
  • Annual coordination of data for school association surveys.

Training

  • Recommends and coordinates training programs for employees.
  • Supports employee Professional Development (PD) days.
  • Coordinates Annual mandatory training (CPR, Mandated Reporter, Harassment, etc.)

Leave Management/Workers Compensation

  • Manages all administrative aspects of the leave of absence and workers' compensation programs in accordance with the applicable government employment laws.
  • Maintains leave of absence, workers' compensation, and compliance-related documents.
  • Arranges for temporary staffing needs.

Other projects as assigned by the CFO or Head of School.

Requirements:

Qualifications

  • A minimum of 5 years of experience across a wide range of Human Resources responsibilities as described above.
  • Excellent written and oral communication, interpersonal, and conflict-resolution skills with strong facilitation and documentation skills.
  • Strong proficiency with HRIS systems (Paylocity).
  • Strong proficiency in MS Office Suite and Google Suite.
  • Highly organized with the ability to work in a fast-paced environment while maintaining a keen attention to detail.
  • Bachelor's degree required. Knowledge of HR/Commercial Law is desirable.
  • A SHRM-CP and/or PHR certification is highly desired.
  • Maintains knowledge of trends, best practices, and regulatory changes at the local, state and federal levels.
  • Demonstrated experience identifying, researching, and implementing human resource solutions in the workplace.
  • Ability to take responsibility for own work, establish trust, and be receptive to feedback.
  • Handle sensitive employment information and records confidentially.

Physical Requirements

  • Frequently is required to talk and hear; walk, reach with hands and arms.
  • Able to sit and stand for long periods.
  • Ability to cross campus multiple times per day.
  • Specific vision abilities required by this job include close vision and ability to adjust focus.
  • Able to do extended periods of work at a computer.
  • Able to assist with events, which include lifting up to 35 lbs., and
  • Able to work occasional evenings.
