Job Overview:

The Senior Payroll Administrator and AP Specialist play a crucial role in ensuring accurate and timely processing of payroll and accounts payable transactions within the organization. This position requires meticulous attention to detail, strong organizational skills, and the ability to manage multiple tasks effectively. The incumbent will handle payroll processing, vendor payments, vendor communication, invoice reconciliation, and provide support for various financial activities.

Key Responsibilities:

Payroll Processing:

  • Payroll Processing: Manage the end-to-end payroll process, including data collection, calculation of wages, deductions, bonuses, and taxes.
  • Compliance: Ensure compliance with all federal, state, and local payroll regulations. Stay updated on changes in tax laws and employment regulations to ensure payroll processes remain compliant.
  • System Management: Oversee the maintenance and optimization of payroll software systems. Collaborate with IT or software vendors to troubleshoot issues and implement upgrades or enhancements.
  • Record Keeping: Maintain accurate payroll records, including employee information, earnings, deductions, and tax withholdings. Ensure records are organized and easily accessible for audits or inquiries.
  • Reporting: Generate payroll reports for management review and financial analysis. Provide insights and recommendations based on payroll data trends.
  • Employee Support: Address employee inquiries related to payroll, taxes, and deductions promptly and professionally. Provide guidance and assistance to resolve payroll-related issues.
  • Audit and Internal Controls: Implement and maintain internal controls to safeguard payroll data and prevent errors or fraud. Participate in internal and external audits as needed.
  • Continuous Improvement: Identify opportunities to streamline payroll processes, enhance efficiency, and reduce costs. Implement best practices and process improvements to optimize payroll operations.

Accounts Payable:

  • Process vendor payments via check, ACH, or wire transfer, ensuring adherence to payment terms and internal controls.
  • Reconcile vendor statements and resolve discrepancies or billing issues in a timely manner.

Qualifications:

Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.

5+ years of experience in payroll processing and accounts payable functions.

Proficiency in payroll software (e.g., ADP, Paychex) and accounting software (e.g., QuickBooks, SAP).

Strong understanding of payroll regulations, tax laws, and accounts payable best practices.

Certified Payroll Professional (CPP) designation preferred.

Excellent attention to detail and accuracy in data entry and reconciliation.

Effective communication and interpersonal skills.

Ability to prioritize tasks, meet deadlines, and work both independently and collaboratively.

High level of integrity and confidentiality when handling sensitive payroll and financial information.
