Job DescriptionJob Description

Intern will work in the Secretariat of Justice and Peace with the Education staff, on administrative responsibilities related to activities of the Secretariat and special projects such as the Catholic Social Ministry Gathering.  

 

Continuing Responsibilities: (List from highest to lowest priority.)

Intern will:

1)Learn the work of the Secretariat to form leaders for the social mission, support the advocacy work of the Secretariat

2)Support the work of the Secretariat’s offices through administrative support

3)Assist in work to support the Catholic Social Ministry Gathering which will include: 

oCSMG Premeeting Arrangements, 

oAssist the work of CSMG Committees, 

oCSMG Onsite Support.

 

Support CSMG Premeeting Arrangements 

1)Attend CSMG Monthly Planning Meetings, which includes administrative support like taking and compiling notes, setting up zoom meetings, and assisting with other details. 

2)Track the Diversity Outreach Initiative (DOI) scholarships and room sharing and submit details to the Program Specialist

3)Draft and send the welcome memos to DOI scholarship recipients and others with detailed helpful information for arrival at the hotel, participation at the gathering, etc.

4)Assist with Secretariat meeting materials for the shipper to pick up and deliver to the hotel (e.g., numbering and organizing list of meeting box contents)  

 

Assist the work of CSMG Committees

1)Assist the Advocacy and Policy Committee in scheduling meetings, taking notes, and drafting emails

2)Collect policy workshop materials such as  permissions, bios, headshots, workshop descriptions etc.

3)Assist the DOI Committee to track applications, communicate with awardees, plan meetings

4)Monitor the CSMG email to answer any inquiries from registered and/or interested participants 

5)Assist in exhibitor recruitment and communication.

6)Respond to any questions leading up to the gathering 

7)Prepare tent cards and other materials as needed. 

 

Provide CSMG Onsite and Post Meeting Wrap Up Support

1)Assist with Exhibitor Room set up 

2)Be available to exhibitors according to staffing plan

3)Assist with questions ongoing

4)Assist the Program Specialist with the placement of surveys for the plenary sessions, liturgies, workshops, and sponsored events, etc. 

5)Placement of signage

6)Greeter/ Information Assistance

7)Recording and archiving essential data for future events. 

8)Draft post-event reports.
