Job Summary:

The AP/AR Specialist operates as a highly organized, strong communicator, and problem-solving team member. This accounting specialist acts as a professional by ensuring accurate data entry, invoice processing, and providing various accounting and office support. This specialist must work well with customers and other team members in a fast-paced and all environments. The AP{/AR Specialist is responsible for maintaining accurate records of financial transactions, reconciling accounts, and processing payments in a timely manner. This position requires a detail-oriented individual with strong organizational skills and a working knowledge of accounting procedures. The AP/AR Specialist reports directly to the Accounting Supervisor.

Position Duties & Responsibilities:

  • Answers phones and maintains appropriate and professional communication with all Tom Mechanical, Inc.’s customers
  • Processes and reconciles invoices, payments and accounts accurately
  • Identifies, reports and resolves any and all discrepancies
  • Maintains accurate records of accounts payables and receivables
  • Creates and updates expense reports
  • Processes reimbursement forms
  • Prepares bank deposits
  • Enters and ensures accuracy of financial transactions/data
  • Checks spreadsheets for accuracy
  • Maintains digital and physical financial records and filing systems for accounting team
  • Issues invoices to customers and external partners, as needed
  • Assists as directed in preparation of quarterly and annual audits
  • Performs other related duties as assigned

Required Skills/Abilities:

  • First-rate interpersonal and customer service skills
  • Knowledge of basic bookkeeping procedures
  • Familiarity with finance regulations
  • Proficient math and accounting skills
  • Excellent attention to detail, specifically able to recognize and correct numerical errors.
  • Organization skills with the ability to prioritize tasks and apply solid time management skills and meet deadlines
  • Ability to appropriately handle sensitive and/or confidential information
  • Professional and courteous verbal and written communication skills
  • Strong problem-solving skills
  • Ability to function well in a high-paced, demanding, and/or strenuous environment.
  • Proficient computer skills, including Microsoft Office Suite
  • From interview to last day of employment, the ability to pass a 10-panel drug screen
  • Continual ability to pass a background clearance verification
  • Neat, clean, and professional appearance during working hours
  • Must be able and willing to work Monday through Friday from 8am until 5pm
  • Strong work ethic and behavior

Education and Experience:

  • Associate’s degree desired. High School diploma or equivalent a must.
  • Work experience in Accounts Payable/Receivable and/or as a bookkeeper
  • Hands-on experience with Excel and accounting software

Physical Requirements:

  • Must be able to:
    • Prolonged periods of sitting at a desk and working on a computer, answering phones.
    • Use repetitive motions
    • Lift up to 15 lbs.
    • Reach over head with ease
    • Complete job with safety in mind for all involved and communicate any issues to the assigned SME that could lead to safety concerns prior to completing tasks
    • Must work Monday through Friday from 8am to 5pm, with a management approved lunch hour
    • Ability to work long hours during peak seasons
