Job Summary

Key Responsibilities
  • Invoice Processing: Code, batch, and key all invoices and expense reports, preparing them for weekly payments and processing of AP checks.
  • Vendor Communication: Respond promptly to vendor inquiries regarding disbursements or holds, and work with vendors to resolve invoice discrepancies.
  • Invoice Tracking: Track invoices and provide follow-up to ensure proper approval of invoices before payment, maintaining accurate records and files.
  • Tax Compliance: Track Sales and Use tax on a monthly basis on invoices where insufficient tax is charged by the vendor.
  • Vendor Management: Create and maintain vendor files, including 's annually for vendors.
  • Communication: Communicate known issues to supervisor and interact regularly with personnel throughout the company.
  • Audit Support: Involvement in the external and internal audits as they relate to the accounts payable process.
Requirements
  • Attention to Detail: Excellent attention to detail and accuracy in processing invoices and vendor communications.
  • Organizational Skills: Ability to prioritize and organize work, balancing high volumes of transactions and maintaining organization during the workday.
  • Analytical Skills: Ability to perform analysis, comparisons, and review transactions to identify and correct discrepancies.
  • Communication Skills: Effective verbal and written communication skills, with a focus on customer satisfaction and service.
  • Teamwork: Ability to work independently and in team settings, maintaining effective work relationships and dealing effectively with other departments and contacts.
  • Process Improvement: A desire to improve processes and increase efficiencies within the accounts payable process.
Preferred Qualifications
  • Accounting Knowledge: Knowledge and understanding of general accounting principles and practices, including general ledger, accounts payable, and accounts receivable.
  • Accounts Payable Experience: 2-5 years of accounts payable experience using computerized accounting software.
  • Technical Skills: Experience with data entry, Microsoft Excel, Word, and Outlook.
  • Education: Associate's degree or equivalent work experience.
