The Director of Prospect Management and Campaign Manager is an integral member of the Advancement and Alumni Engagement fundraising team, providing leadership and strategic direction for the departments prospect and portfolio management program working closely with senior leadership to ensure that development officers are engaged in the most value-added activities, prospects are receiving the attention they need, and the college has a sufficient prospect base to meet its fundraising goals. The Director's role is proactive in expanding the prospect pool and responsive to meet the needs of development officers. The Director assigns prospects by interest and affinity, manages movement through the pipeline, and collaborates with development officers to formulate cultivation and solicitation strategies. The Director utilizes specialized research and analysis to facilitate the identification, cultivation, and solicitation of top prospects and tracks their progress within each development officer's portfolio. This position will be an integral part of the campaign team, overseeing all reporting, monitoring of campaign activities including but not limited to coordinating Presidential and executive level donor travel. Will develop and/or refine dashboards, visualizations, and other tools to drive efficiency and fundraising performance.

The Director supervises the Assistant Director of Data Services & Prospect Research, Gift Manager and Records Coordinator. This team is responsible for developing reports, policies and procedures that ensure the accuracy and effectiveness of the donor database and for training the staff in its use.

Characteristic Duties and Responsibilities:

  1. Must successfully manage multiple projects with competing and/or shifting priorities while maintaining a high degree of professionalism and confidentiality.
  2. Must be able to work effectively in a consensus-style operation that expects and promotes teamwork.
  3. Belief in the mission and strong ethical conduct is essential.
  4. Manage the functions of Prospect Management and Research, including portfolio constructions and optimization, portfolio reviews, proposal tracking and support the execution of campaigns for key strategic priorities. Will have oversight of prospect assignment processes and will ensure that prospects are assigned in accordance with department guidelines.
  5. Establish and implement best practices for data-driven prospect management across the college. Use various software tools to analyze the data, synthesize its findings, and share results in clear and compelling presentations to the Board of Trustees, senior leadership, faculty, and staff.
  6. Manage all prospect assignment activity; create, maintain, and document metrics and processes to analyze development officer activity. Monitor the pipeline and guide development officers' progress in prospect cultivation, solicitation, and stewardship to ensure movement in the managed portfolios.
  7. Support the President, Vice President, and Chief Development Officer of Advancement and Alumni Engagement with profiles, and alerts on pertinent activity and strategies.
  8. Partner with fundraisers to provide timely, accurate and analytical in-depth information and reports on prospects and donors and recommend strategies for cultivation, solicitation, and stewardship; provide quarterly portfolio reviews and assessments of the overall prospect pool.
  9. Investigate fundraising initiatives to determine if a sufficient number of prospects can be identified to meet funding goals, utilize wealth screenings to identify prospects for major gifts, planned gifts, and annual gifts, engage in data mining to identify giving trends, and perform qualitative and quantitative analysis to evaluate each identified prospect's potential and propensity to financially support the college.
  10. Develop techniques/resources for researching prospective donors, including meeting with faculty/staff.
  11. Identify the nature and sources of data that need to be tracked and design systems to collect, maintain and enter data on an on-going basis. Utilize the services of outside vendors to enhance the data.
  12. Monitor, analyze, and report on progress toward goals, establish benchmarks to evaluate effectiveness. Cultivate internal relationships to seek feedback on program effectiveness and determine customer needs.
  13. Keep abreast of new products, resources, technologies, and methodologies to enhance work.
  14. Conduct data modeling to provide forecasts of how various segments within the donor database will respond to specific appeal types; develop campaign pyramids and other ad hoc reports to monitor trends or predict outcomes.
  15. Develop, implement, document and maintain policies for Advancement and Alumni Engagement, including contact report and proposal procedures, inclination and capacity rating, data field requirements, etc.
  16. Support and train Advancement and Alumni Engagement staff, as well as other college personnel engaged in fundraising activities, on all aspects of the donor database, including policies and procedures for contact reports, use and security of data, ratings, data entry, report generation, and proposal management.
  17. Safeguard the confidentiality of donor information at all times, exercise the utmost of discretion, and adhere to the ethical and confidentiality policies and guidelines of the college and the Association of Professional Researchers for Advancement (APRA).
  18. Collaborate with the Donor Relations team to identify stewardship opportunities for principal prospects while also managing the fluid assignments of any stewardship portfolios.
  19. Assist with developing agendas for and attending regular principal gifts, and major gift prospect strategy meetings, as well as any future campaign committee meetings.
  20. Serve as backup to all areas within the Advancement Operations unit to assure continuity across business functions.
  21. Contribute to building a world-class culture of philanthropy by taking responsibility for other special tasks as requested.
  22. Perform other duties as assigned.

Credentials and Experience:

  1. Well-developed leadership abilities and strong problem solving skills.
  2. Experience with comprehensive or large capital campaigns or principal giving programs is required.
  3. A minimum of ten years of development research experience, preferably in higher education.
  4. Minimum of ten years' experience in prospect management, research, data analysis, or other similar field, preferably in an academic or nonprofit healthcare or related industry setting.
  5. Experience with relational databases and their structure.
