Customer Product Specialist

The Customer Service Rep performs the necessary duties in receiving, processing and following up on Homasote orders, and deals directly with customers and sales personnel, as well as with Plant production, Shipping, and Accounting Departments, by both telephone and correspondence in order that customers requirements be satisfied. This position reports directly to the Director, Sales & Marketing.
Essential Duties and Responsibilities- Receives sales orders for Homasote products; answers inquiries, if necessary, regarding availability, prices and shipping promises on standard products.
- Gets needed information from Sales Department on special orders and sends quotes to customers and/or salespersons by email, fax or telephone.
- Answers inquiries concerning status of orders, expedites and advises customers and salespersons.
- Processes sales orders on standard form and enters into computer, fills in complete data, fully descriptive of products ordered with prices and discounts, plus shipping information.
- Makes needed revisions to edited orders in MAPICS and distributes copies of orders, as directed.
- Sends daily order acknowledgements via Acom system.
- Prepares and issues credit memos as necessary.
- Answers calls from outside regarding subjects such as: where Homasote can be purchased, in reference to technical data, which calls are rerouted to technical dept or sample dept, etc.
- Takes and enters into Excel the product value of open order in a sales “report card” and “cutting schedule.”
- Schedules pickups, truck and rail shipments daily, based on product inventory, and if not in stock, communicates time frame to customer.
- Calls Shipping Department with changes to orders.
- Performs a variety of data entry into forms and reports, such as, but not limited to, customers’ lists, labels, etc.; maintains files for such items as orders, reports, invoices, price book, etc.
- Maintains data base of customer contact information.
- Performs administrative duties such as: collates, stuffs envelopes, monthly Sales Representatives’ mailings.
- Maintains inventory record of materials for purpose of salespersons’ transfers.
- Operates office machines such as printer, PC, calculator, copier, fax and scanner, etc.
- Member of the phone team to answer incoming calls on the 1600 line.
- Other duties as assigned.
- High School Diploma
- 2 Years of experience in a support role function
- Experience in a manufacturing or factory environment a plus
- Proficiency in MS Word, Excel, and familiarity with MAPICS

- Fluency in English
- Bi-lingual in Spanish a plus but not required
- Able to effectively communicate in verbal and written form to employees, management, executives, and clients
- Excellent phone etiquette, speaking voice and professional appearance
- Able to identify, define and resolve problems, collect data, establish facts and draw valid conclusions
- Able to interpret an extensive variety of instructions in mathematical, written or oral form
- Able to interpret written and oral instructions, and to read, analyze and interpret, operating & maintenance instructions or regulations
