The International Center supports the USD university community in advancing global citizenship. In 2015 USD received the Senator Paul Simon Award for Comprehensive Internationalization, awarded by the NAFSA (Association of International Educators). For undergraduate students, there are approximately 135 academic study abroad programs offered in 44 countries and 76 cities to experience and learn about different cultures, languages and customs. The graduate and professional programs also offer extensive international opportunities for working professionals as well as full-time graduate students. Our campus is enriched by having students and scholars from over 70 countries.

Detailed Description:
This recruitment is open to current University of San Diego employees only. Only current USD employees are eligible to apply and be considered for this position.

The International Studies Abroad Office supports all undergraduate student study abroad programs, and graduate programs in the Kroc School, the School of Nursing, and the College of Arts and Sciences, which are conducted in Africa, Asia, Australia, Europe, Latin America and the Middle East. In addition, the Office services as a hub of information for all of the graduate and professional student study abroad programs in SOLES, the School of Business and the Law School, well as non-academic units engaged in international experiences. The International Studies Abroad Managers will serve as the first contact for the international study programs supporting approximately 1000 undergraduate students going abroad annually. They are responsible for providing student-centric, proactive, professional and engaged advising and coaching to support the students' success with regards to their international experiences as a part of their academic journey at USD. The Managers need to be familiar with USD's various degree programs, across the university, to assist the students in identifying opportunities for study abroad while fulfilling their graduation requirements and achieving career, personal and educational goals. The Managers work directly with faculty to assist them in meeting their learning objectives for approximately 55 USD undergraduate courses that are annually offered abroad. This position provides the necessary administrative functions to offer successful academic programs abroad; coordinates pre-departure preparations including international visa requirements; regularly exercises independent judgment and discretion; supervises student assistants; advises students; promotes the various programs while working with critical deadlines; supports students, parents and other stakeholders when critical situations develop; serves as initial budgetary officer for each of the faculty-led programs under their jurisdiction; conducts overseas site visits as necessary; serves as on-site manager abroad, for various programs, managing logistics as well as student wellness and student discipline; and serves as a translator when necessary.

Duties and Responsibilities:

Program development and design for international study abroad experiences
  • Responsible for accurate and current study abroad transfer course evaluations, approved by the Department Chairs and the Core Curriculum Committee, which are made available to students interested in studying abroad
  • Continuous program assessment and discuss findings regarding program quality control issues and student/faculty feedback
  • Assess policies and procedures for accuracy and recommend updates
  • Ensure new policies and procedures as recommended by Director are in place and operational
  • Oversees online resources for accuracy and consistency:
  • Maintenance of the International Studies web site
  • Maintenance and development of StudioAbroad web site
Problem solve for faculty teaching abroad, Department Chairs, international academic partners and students with regard to the Offices of Student Financial Services, Financial Aid, Housing, Registrar, and Procurement Work in collaboration with the Director to attend to, and find solutions for, student and parental concerns/complaints Advise faculty going abroad to provide foundational information and advice for successful program development. Promotes the various programs on and off the USD campus
  • Develops effective and inclusive marketing materials and events for outreach to students for a variety of programs making sure they are relevant and target the entire campus community
  • Attends study abroad fairs on and off campus and participate in international education conferences
  • May serve on committees for on campus programming
Student advising and activities for pre and post-departures
  • Provides advising across all university majors to support student goals and the mission and vision of USD via one-on-one appointments, drop-in appointments, group presentations, and email and phone correspondence.
  • Develops rapport and builds academic advising relationships with advisees
  • Is sufficiently informed about course requirements, degree requirements, core curriculum requirements and prerequisites at USD as well as in the programs abroad
  • Is responsible for knowing and advising students regarding issues of financial aid, student accounting and registration procedures and other information at USD
  • Works in collaboration with the various academic departments and degree program advisors to assure the course selections assure seamless transferability of courses abroad
  • Maintains all records related to individual course equivalencies in semester abroad programs
  • Responsible for review of applications and makes recommendations for status and for potential concerns, and making recommendations for action
  • Prepares students, faculty and staff for the pre-departure including, but not limited to, visa requirements, cross-cultural issues, safety and wellness, on-site logistics.
  • Shows discretion in handling personal information for individual applicants and other stakeholders and maintains confidentiality in accordance with the Family Educational Rights and Privacy Act (FERPA)
  • Refer students to appropriate campus resources and services (academic support, student involvement, health and wellness, counseling services, etc.) as needed
  • Compiles data, generates and edits enrollment reports for continuous improvement and to accurately represent activities of the International Center
  • Serves as liaison with our partners abroad and each of the international consulates
  • Maintains and edits program rosters and works closely with the Registrar for accurate registration and transcript reconciliation
Collaborates with international colleagues and constituents in a globally competent, professional manner
  • Represents the University globally as the first point of contact with international partner organizations and universities
  • Contacts international partners as needed to streamline processes, update procedures, and solve any issues that may arise
  • Obtain reports from international partners and relay pertinent information to other stakeholders
  • Maintain positive and professional working relationships with international constituents
Functions as first point of contact for budgetary issues with short-term faculty-led programs
  • Projects and monitors expenses for all programs in their portfolio
  • Conducts fiscal closing with the International Center Budget & Operations Manager
  • Responsible for verifying the accuracy of invoice billing amounts, reconciling receipts as well as cash and per diem advances
  • Assists with developing short-term and semester budgets for Financial Aid Office and Student Financial Services to ensure correct billing of students and payment of semester tuition to international affiliate programs
Participates in overseas site visits and assists with overseas programs
  • Travels overseas to serve as on-site manager for faculty-led programs, as needed
  • While overseas, serves as the main point of contact for students, faculty and staff and is on-call 24/7.
  • Is knowledgeable about health, safety and medical procedures abroad and manages crises in a responsible and timely manner as they develop
  • Serves as an initial point of contact with students, parents and other stakeholders regarding health and safety of students often making critical decisions and providing needed support
  • Coordinates while abroad with various USD constituents to ensure timely and effective treatment of student/faculty/staff issues
