Duties * You will serve as the principal office assistant to the Division Head and key staff members performing a variety procedural and administrative duties in support of the work of the Division. * You will respond to routine and non-technical requests for information such as status of reports and suspense dates for matters requiring compliance. * You will receive and screen material prior to distribution, establish controls, follow up on suspense dates, review correspondence prepared for Division Head, check for spelling, errors and conformance to formatting and procedural requirements. * You will requisition office supplies, equipment and publications. * You will maintain subject matter files, receive visitors and telephone calls, determine the nature of the request, and direct visitors/callers to appropriate staff. * You will make extensive travel arrangements, coordinate arrangements for conferences, compose non-technical correspondence, and locate and assemble information for reports and briefings. You will be required to participate in medical surveillance programs. * You may be required to obtain a government purchase card. * You may be required to complete ethics orientation within three months of appointment and submit OGE Form 450, Confidential Financial Disclosure Report, within 30 days of appointment; annual submission is required. * This is a bargaining unit position. * Occasional overtime may be required. * This position requires the ability to type at least 40 words per minute. Qualifications SPECIALIZED EXPERIENCE: In order to qualify for this position, your resume must demonstrate at least one full year (52 weeks) of specialized experience at or equivalent to the next lower grade level or pay band in the federal service or equivalent experience in the private or public sector. Specialized experience is defined as experience that is typically in or related to the work of the position to be filled and has equipped you with the particular competencies/knowledge, skills, and abilities, to successfully perform the duties of the position. Specialized experience must demonstrate the following: FOR GS-06 (one year of specialized experience equivalent to GS-05): Experience developing and managing all administrative functions and duties including official correspondence and screening visitors and phone calls. Experience reviewing and revising routine correspondence, memoranda, reports and other materials in accordance with proper formatting and procedural requirements. Experience locating and summarizing information from files and documents and developing reports. Experience requisitioning office supplies, equipment and publications. Experience with office automation software such as Microsoft Word, Excel, PowerPoint, and Outlook. FOR GS-05 (one year of specialized experience equivalent to GS-04): Experience assisting with clerical and administrative functions to support the needs of the organization. Experience creating and maintaining subject matter files, screening visitors and phone calls. Experience requisitioning office supplies, equipment and publications. Experience with office automation software such as Microsoft Word, Excel, PowerPoint, and Outlook. Education SUBSTITUTION OF EDUCATION FOR EXPERIENCE: Applicants may substitute the following education for the required experience, provided it demonstrates the knowledge, skills and abilities necessary to do the work of the position: GS-05: 4 years of successfully completed education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. For GS-5 level positions, only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. COMBINATION OF EDUCATION AND EXPERIENCE: Equivalent combinations of education and experience may be combined to meet the total qualification requirements for the GS-05. GS-06: There is no substitution of education for experience at the GS-06 grade level. Are you using your education to qualify?
