What to Expect
The Associate, Servicing Mailroom Operations is responsible for not only processing incoming mail which includes identifying, routing and logging incoming mail in adherence HCA's policy and procedures, but they are also responsible for providing day to day guidance, assignments and real time coaching and feedback to the Associate, Servicing Mailroom position.
This position is expected to provide recommendations on process enhancements to increase mailroom efficiencies and the overall customer experience. Additionally, the Associate, Servicing Mailroom Operations will provide reporting on all mailroom activities to department leadership.
All positions within the Operations Division are expected to collaborate cross-divisionally to achieve a seamless customer experience; this includes supporting other departments as necessary to meet the business need.
What You Will Do
1. Process incoming mail, requests and documents including physical checks as requested, ensuring accuracy per KSOX requirements and HCA's policy and procedures. Track mailroom processes and oversee daily adherence to Mailroom Servicing SLAs and KSOX requirements, which includes directing task prioritization for mailroom operations, entering daily volumes for leadership and escalating issues that would impact the mailroom.
2. Assist in identifying process improvements that positively impact mailroom operations including recommending efficiencies and enhancements to the customer experience.
3. Respond and oversee mailroom inbox and respond/resolve concerns within the assigned SLA.
4. Oversee maintenance of mailroom record organization with adherence to HCA's document storage protocols.
5. Actively participate in coaching and development sessions/trainings to co-create solutions that enhance individual performance and overall department/team performance.
6. Perform all other duties as assigned.
Qualifications

• Must be able to successfully operate in a fast paced and team environment
• Must adapt well to change and successfully adjust to changing priorities
• Must be proficient with Microsoft Office Suite and have experience with general office equipment
• Ability to work well under pressure and meet deadlines
• 2-4 years' experience in a fast-paced office environment, preferably working in a mailroom or with processing documents related to backend servicing functions.
• Previous experience in a team lead role desired
• High school diploma or general education degree (GED)
Work Environment
Employees in this class are subject to extended periods of sitting, standing and walking, vision to monitor and moderate noise levels. Work is performed in an office environment.
The posted salary range for this job takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; geographic location, and other business and organizational needs. Successful candidates may be hired anywhere in the salary range based on these factors. It is uncommon to hire candidates at or near the top of the range.
