Job Overview

We are seeking a highly organized and detail-oriented Office Administrator Supervisor to join our dynamic and innovative medical device manufacturing company, SHL Medical in Charleston, SC. As an Office Administrator Supervisor you will play a crucial role in ensuring the smooth operation of the company by managing various administrative tasks.


Main Responsibilities

  • Greet domestic & international guests with a warm and professional demeanor, providing them with a positive first impression of SHL Charleston.
  • Prepare meeting agendas, take accurate minutes, and distribute action items to relevant stakeholders in a timely and automated manner.
  • Coordinate and manage travel arrangements for employees, customers, and vendors for Charleston site.
  • Point of contact for any and all visitors of SHL Charleston including reservations for hotels, restaurants, and other necessary accommodation.
  • Plan and execute company-wide events, meetings, and conferences from venue selection to logistics coordination.
  • Point of contact for C-level employees including travel reservations, accommodations, and itinerary planning.
  • Oversee property management for corporate housing, assisting in maintenance schedule, upkeep, and tenant relations.
  • Assist in the preparation and distribution of company-wide communications, memos, and announcements.
  • Manage expense reports and purchase card transactions used for operational needs and event expenses.
  • Handle incoming and outgoing mail and packages, including distribution and tracking.
  • Manage office supply inventory, place orders, and ensure adequate stock levels at all times.
  • Maintain cleanliness and organization of common areas, meeting rooms, and the reception area.
  • Supervise visitor reception process and personnel
  • Performs other related duties as assigned.


Skills and Qualification

  • High School Diploma or equivalent required.
  • Bachelor’s Degree in Business/Communications or relevant concentration strongly preferred.
  • 3-5 years of experience as an Office Manager or Administrative Assistant required.
  • Experience in working in direct contact with C-level employees and/or clients/customers.
  • Proficiency in Microsoft Office including Excel, PowerPoint, and Outlook.
  • Proven experience within organization or medium-large events/meetings/conferences.
  • Highly organized individual with attention to detail.
  • Exceptional communication skills, excellent multitasking abilities, and a positive and productive approach to problem-solving.
  • Direct supervision experience
  • Experience with green field, or startup environment
  • Experience within Manufacturing, Medical Device, Pharmaceutical, or Biotechnology industry
  • Experience in developing, and implementing new processes or automating current processes
