Police Records Administrative CoordinatorReporting to the Police Records Manager, you will support the maintenance, organization, and disposition of all found property in accordance with Michigan law enforcement records retention requirements. This position assists in reviewing, managing, and redacting police records and reports to ensure compliance with state law, university policy, and departmental procedures. You play a key role in ensuring the accuracy, security, and accessibility of official police records for the Division of Public Safety and Security (DPSS).The Division of Public Safety and Security (DPSS) leads all public safety functions within the university, including police, security, and emergency management, and offers an integrated approach to safety and security, operating 24 hours a day, seven days a week, 365 days a year. DPSS combines Ann Arbor, Dearborn, and Flint operations to provide students, visitors, faculty, and staff with a safe and secure environment. Benefits include:Many choices for comprehensive health insurance including "Other Qualified Adult" coverageGenerous time off including parental leaveA Retirement plan that provides two-for-one matching contributions with immediate vestingDental insurance, Life insurance, and Vision insuranceLong-term disability coverageTuition Support ProgramFlexible spending accounts for healthcare and dependent care expensesResponsibilities:Receive, catalog, and maintain found property in compliance with Michigan law enforcement retention schedules and DPSS policies.Review criminal and non-criminal reports, department arrest logs, and other records for completeness, accuracy, and adherence to records standards.Assist with the processing, storage, and lawful disposition of found property as directed by the Police Records Manager.Perform record redaction to protect confidential and legally exempt information in response to public records requests, subpoenas, and Freedom of Information Act (FOIA) requests.Process and track background check and records requests from authorized entities.Assist in developing, implementing, and updating departmental procedures related to records and found property management.Provide administrative support to ensure timely and accurate entry, retrieval, and reporting of records information.Maintain confidentiality and security of sensitive information in accordance with federal, state, and university regulations.Provide coverage and support during the Record Manager's absence.Required Qualifications:High school diploma or equivalent.Two years of experience in an administrative, clerical, or records-related position, preferably in a law enforcement or government setting.Working knowledge of data entry, filing systems, and public records management.Strong attention to detail and ability to maintain accuracy in record keeping and documentation.Demonstrated ability to handle sensitive information with discretion and confidentiality.Proficiency with computers and software applications, including Microsoft Office and records management systems.This is an onsite position. Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment.All members of the Division of Public Safety and Security (DPSS) are considered Campus Security Authorities (CSAs) under The Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act. As such, you are required to report Clery reportable offenses that come to your attention.
