Role Description
The Associate Director of Community Events & Volunteer Engagement is responsible for the planning & execution of all events produced by the President & the Advancement office. The position works independently & with committees to execute effective & organized events within the budget & goals set prior to the event. The position works with school administrators, faculty, staff & parent organizations as well as community partners and vendors. This is a full-time, year-round position.
Principal Duties & Responsibilities
- Lead the planning & execution of Advancement events including but not limited to: Benefit Feast, Bourbon, Brew & Bites Bash, Golden Legacy Mass & Breakfast (works with Alumni Relations & Outreach), Hall of Honors, Phonathon, Spring Raffle, Donor stewardship events and other events as planned
- Directs and participates in set-up and tear-down for all events.
- Document and maintain accurate records of event execution & financial reporting
- Responsible for the set-up & management of website for all of the above events
- Responsible for recruitment & management of volunteers for above events
- Works with Alumni Relations & Outreach on the recruitment & organizing of student participation in events
- Assists the Alumni Relations & Outreach position planning successful events around alumni
- Responsible for planning & leading committee meetings for all fundraising events including, but not limited to procurement of items, basket design, thank you notes, volunteers
- Responsible for accurate record keeping of all raffle tickets, raffle items, silent auction & live auction
- Coordinates & solicit sponsors for events including the Corporate Sponsorship program
- Establish annual benchmarks for growth of Corporate sponsor program; review on a quarterly basis with Advancement Director
- Record and receipt all constituent’s donations within 48-hours of receiving
- Provide monthly report of donations with notes on new donors, for review with Advancement Director Alumni Relations & Outreach
- Responsible for management & growth of Colts Parent Club (CPC) into a vibrant volunteer base for school events
- Collaborates with Advancement team on an on-going CPC social schedule, including a mix of school activities and events
- Maintains accurate record of parent and student volunteer participation
- Assists with other Advancement office projects & activities as needed
Special Knowledge & Skills
- Proficiency in Microsoft Word, Excel and PowerPoint
- Excellent oral, written and social media communication skills
- Ability to articulate & support the mission of the school
- Work in a collaborative setting
- Self-motivated, creative thinker with the ability to multi-task while being flexible
