WOW Logistics is now hiring for an Executive Administrator to the CFO

As the Executive Administrator, you will provide high level support to the CFO. This position will provide support by prioritizing work, handling information requests, performing clerical functions, and anticipating the needs, and expectations of executives and leaders in a confidential manner. The Executive Administrator will represent WOW Logistics, executives, and leaders through a professional demeanor, use of discretion and confidentiality, and exemplify WOW’s values at the highest level of professionalism.


Responsibilities:

  • Demonstrates and leads the acceptance of company culture (adhere to company’s core values) and professional standards.
  • Be the main point of contact for the CFO, handling communication with internal and external stakeholders, and assisting with presentations and engagements.
  • Manages and maintains schedules, as appropriate.
  • Works with other Executive Administrators regarding teamwork in all aspects of administration.
  • Demonstrates the ability to plan for, complete, and implement assignments and responsibilities in a timely manner.
  • Demonstrates approachability and ability to collaborate with others and effectively influence.
  • Develops relationships with leaders, direct reports, and/or others that facilitate open dialogue and trust.
  • Handles details of a confident nature, and performs administrative functions based on understanding of company policy, executive's views, and philosophy
  • Arrange, on your own initiatives, conferences, and meetings, establishes appointment priorities, and reschedules or refuses appointments or invitations
  • Disseminate information on behalf of CFO to appropriate audience
  • Coordinates travel plans for team as follows: Airline, hotel, car, and restaurant reservations
  • Complete expenses in a timely manner
  • Attend meetings, record notes, and follow-up as needed
  • Define solid meeting agendas, take action items during meetings, and follow-up on assigned action items ensuring deadlines are being met for various projects
  • Assist in various projects as needed
  • Assist in company goal generation, review, and tracking
  • Compose, review, and wordsmith communications and presentations for internal and external audiences
  • General administrative duties such as calendaring, meeting preparation (ordering food, setup, etc.), coding expenses, mailing documents, sending documents for signatures via DocuSign or email, saving and filing of certain document
  • Performs other duties as assigned by other departmental leaders of each supporting department


Qualifications:

  • High School Diploma or GED required
  • 5 years of administrative support experience including support at an executive level
  • Demonstrated strategic thinking ability
  • Strong computer skills required using Microsoft Office tools and developed proficiency with Microsoft Outlook, Word, PowerPoint, Excel, and Teams
  • Advanced typing skills
  • Demonstrated meeting and travel planning skills
  • Flexibility in work schedule
  • Self-driven and confident
  • Ability to prioritize, organize, self-manage, and successfully balance multiple tasks and requests to meet project deadlines
  • Excellent written, verbal, presentation and interpersonal communication skills to interface will all levels of management
