Job Title: Client Services Coordinator


Position Overview

We are seeking a dedicated and dynamic Client Services Coordinator to join our team at LK Institute. This role is crucial as it blends administrative duties with client interaction and sales responsibilities. The ideal candidate will be the first point of contact for clients, providing a welcoming and supportive environment, while also actively engaging in activities to promote client admissions and retention.


Duties & Responsibilities

  • Reception and Client Support: Greet clients and visitors with a positive, helpful attitude. Assist clients in making appointments, answering inquiries, and providing guidance on the services offered at the center. Ensure the reception area is organized and presents a professional image.
  • Sales and Client Conversion: Understand the range of services and therapies offered to effectively communicate their benefits to potential clients. Encourage interested individuals to sign up for initial assessments or therapy sessions, aiming to convert inquiries into regular clients. Follow up on leads through phone calls or email correspondence. Track all inquiries and outcomes in CRM system.
  • Administrative Tasks: Handle administrative tasks such as scheduling appointments, maintaining records, and processing payments. Utilize client management software to update client records and track communication history. Ensure confidentiality and security of all client information.
  • Collaboration and Communication: Work closely with therapists and other staff to manage schedules and accommodate client needs. Provide feedback from clients to enhance service delivery and client satisfaction.

Qualifications:

  • Proven experience in reception, sales, customer service, or a similar role, preferably in a healthcare or therapeutic setting.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficient in Microsoft Office and experience with scheduling or CRM software.
  • A friendly and energetic personality with a client-oriented focus.
  • Ability to handle stressful situations and offer appropriate emotional support when needed.

Education:

  • High school diploma required; further education or certification in administrative duties, sales, or customer service preferred.
