The lobby supervisor's primary responsibility is to use a strong work ethic and time management skills, excellent attention to detail, and professional verbal and written communication to monitor and maintain various life safety systems, perform general administrative duties, and assist with residential services.
Areas of Responsibility (including but not limited to):
- Monitor life safety equipment, camera activity, audible door alarms, and property management software and advise appropriate Mansion House Fire or Police Department personnel of emergency conditions or questionable activities as necessary.
- Provide a welcoming environment by greeting and assisting residents as needed, including opening doors, entering work orders, supervising the valet laundry service, and arranging the freight elevator and package carts.
- Maintain the appearance and cleanliness of the Lobby, Package Center, and Mailroom by cleaning glass doors, vacuuming, and keeping the workstation orderly.
- Function as the first point of contact to assist emergency medical personnel, fire department, or law enforcement personnel as necessary.
- Maintain the front parking lot's congestion and monitor for loitering, stalled vehicles, and traffic, including calling for towing for derelict or infraction vehicles.
- Deter and/or report acts of vandalism, damage, deferred maintenance, or hazardous situations to the site manager as discovered and take appropriate action as necessary, including contacting the Police Department.
- Maintain a professional, safe, and service-oriented environment for prospects, residents, and commercial tenants by using the intercom to direct all visitors appropriately, ensure the visitor log is completed, and assist visitors and delivery personnel with building access.
- Encourage residents' satisfaction by contacting them and following up on all closed tickets within 24 hours to ensure completion.
- Check company email periodically during the shift and reply in a timely manner.
- Maintain and manage a monthly staff schedule, including arranging coverage and occasionally covering open shifts.
- Review bi-weekly timecards for Lobby staff with Property Manager.
- Assist couriers with accessing and understanding the onsite locker system for onsite deliveries.
- Demonstrate knowledge and competency of all Apartment and Community Policies, Lobby Attendant Procedures and Policies, and Company Protocol and Expectations.
- Maintain open communications with Lobby Staff by occasionally answering after-hours communication.
- Engage residents to communicate community policies and procedures and notify the Property Manager of concerns.
- Accommodate after-hours move-ins, move-outs, resident and visitor concerns, and notify the on-call team of community emergencies.
- Meet weekly with the Property Manager to communicate concerns with the Property Manager daily
- Establish good working relationships with residents through using New + Found policies.
- Other duties as assigned.
