Join Our Team: Office Assistant with Legal Billing Responsibilities
Are you an organized and detail-oriented professional with a passion for legal administration? Our mid-size law firm is seeking an Office Assistant to support our team in a dynamic and collaborative environment.
Responsibilities:
1. Secretarial Duties:
○ Filing Court Pleadings/Documents: Efficiently manage legal documents, including electronic filing.
○ Service of Process: Prepare summonses and coordinate with sheriff or process servers.
○ Work Product: Format and distribute work product (documents, reports, etc.).
○ Open/Close Matters: Handle administrative tasks related to case management.
○ Diarying: Maintain a master calendar for appointments and deadlines.
○ Copying: Assist with photocopying tasks.
○ Answering Phones: Professionally manage incoming calls.
2. Time/Billing Responsibilities:
○ Entering Time for Attorneys: Accurately record billable hours for our legal team.
○ Preparing and Sending Bills Monthly: Create, edit, and finalize invoices.
○ Month-End Reports: Compile and prepare reports at the end of each month.
3. Additional Tasks (if Partners Delegate):
○ Accounts Receivable (A/R): Manage payments received.
○ Bank Deposits: Handle deposits.
○ Accounts Payable (A/P): Approve and post vendor bills.
Qualifications:
● Proficiency in Microsoft Office (Word, Excel, Outlook).
● Familiarity with legal billing software (e.g., Clio) is a plus.
● Strong organizational skills and attention to detail.
● Excellent communication and phone etiquette.
