Woodruff Arts Center employees play an integral role in creating and supporting great art and education initiatives at the nation's third largest arts center. Monday - Friday, 9am - 5pm (occasional nights and weekends required for special events)

ESSENTIAL DUTIES AND RESPONSIBILITIES

Oversee membership and donation processing
  • Ensure accurate processing of both paid and complimentary memberships
  • Work with Membership and Guest Relations staff to ensure accurate data entry
  • Oversee integration of Tessitura with Donate2 and Stripe

Oversee membership accounting and reconciliation
  • Reconcile daily sales to ensure that sales have been correctly recorded in Tessitura
  • Work closely with HMA and WAC Finance to ensure prompt and accurate reconciliation, utilize Adyen to reconcile Tessitura daily, preparing reports as required
  • Review and process all returned check and credit card payments; record status of payments and make resulting changes to membership records

Manage campaign creation and sourcing in Tessitura
  • Create monthly renewal/upgrade lists for mailings and refresh as needed for email campaigns
  • Create lists for tracking premium redemption and sending reminder emails
  • Build/refresh email lists for Annual Fund, Acquisition, and Gift Membership campaigns

Manage Card Fulfillment and Acknowledgements
  • Manage Annual Fund and Membership acknowledgement fulfillment processes
  • Ensure prompt delivery of digital membership cards (Cuseum), welcome emails (Wordfly/Prospect2), and printed acknowledgement letters/receipts (in-house printing)
  • Manage ongoing updates/improvements to the digital card fulfillment process (Cuseum)

Team Management and Training

  • Oversee the management of the Member Services Call Center
  • Act as lead for Membership Team on Tessitura training and utilization
  • Manage the Membership Assistant (oversee and approve time in Workday; provide comprehensive training and encourage professional development)

Miscellaneous
  • Regularly attend Tessitura trainings and webinars to stay informed of version updates and new features, making recommendations and assisting with implementation (working closely with the HMA Database Manager and WAC IT)
  • Other duties as directed by the Associate Director of Membership

QUALIFICATIONS

Education and Experience
  • Bachelor's degree
  • 5-10 years of experience working in a museum or non-profit organization
  • Experience in membership or development preferred

Skills and Abilities
  • Proficient in CRM database (Tessitura preferred)
  • Good verbal and written communication skills
  • Excellent mathematical skills and attention to detail
  • Knowledge of Microsoft Word, PowerPoint, and Excel
  • Ability work in a fast-paced environment
  • Flexibility and willingness to be a team player
  • Strong organizational skills
