A contemporary art gallery, with locations in New York, Singapore and London is looking for an Associate Registrar to join their New York team, at their Chelsea location. This is a newly created role and will report to the Senior Registrar. They are seeking someone with knowledge of inventory management and shipping logistics and require someone who can sensitively communicate with both clients and artists regarding the transportation of artworks.The Associate Registrar will need experience conducting condition reports and coordinating consignments and loans. Any successful candidate will be an organized team player with meticulous attention to detail and diligent follow through.


Skills Required:

● Knowledge of inventory management best practices, inventory management software, and meticulous inventory data entry and record keeping

● Experience arranging and tracking artwork shipments, domestic and international, between artists, the galleries, art fairs and clients

● Knowledge of condition reporting best practices

● Experience liaising with artist studios to ascertain availability of artwork and arrange shipping

● Experience communicating with clients to determine their framing, shipping and installation requirements, and obtain estimates from vendors, in order to help the sales team close sales

● Experience obtaining quotes for framing and shipping (domestic and international)

● Experience communicating with clients and liaising with sales staff to provide after-sales service, coordinating framing, shipping and installation, from beginning to end

● Experience scheduling art handlers for gallery, client and art fair installations

● Ability to assist with coordinating artwork consignments and loans with other institutions and galleries, including drawing up consignment agreements, contracts, and ascertain insurance requirements

● Ability to assist with forward exhibition planning and scheduling

● Ability to assist with managing the calendar and gallery schedule for viewings, shipping, and exhibition installation and deinstallation


Personal qualities:

The ideal candidate will have excellent verbal communication skills and flexibility and willingness to work within the existing administrative infrastructure and corporate culture of the company. They are not looking for someone to re-create it.


Must have the ability to work independently once trained and tasked with projects. Meticulous attention to detail and diligent follow up is essential. This is a close-knit team with many members who’ve been on staff for more than 10 years. They value kindness and cooperation.
