PRIMARY FUNCTION
The Project Manager (PjM) serves as the key liaison between Yulista and its clients, ensuring seamless communication and coordination across all assigned projects. Under the direction of the Program Manager (PM), the PjM is responsible for overseeing project-oriented work efforts, including managing project status reports, ensuring accountability, and driving project success. This role requires flexibility to adapt to shifting priorities and schedules. A high level of self-motivation, independent work ethic, and the ability to manage multiple tasks simultaneously is essential.
The Project Manager will manage specific training, training support, curriculum development, or instructional services projects within larger programs across the Yulista Solutions, Yulista Services, and Yulista Tactical enterprise portfolio. The PjM ensures all projects are completed on time, within budget, meet quality standards, and fulfill customer expectations. They will develop and maintain project documentation, such as work breakdown structures (WBS), Integrated Master Schedules (IMS), and charters, and are responsible for tracking key milestones. As needed, the PjM adjusts project plans, resources, and budget data to meet the evolving needs of both the customers and the Program Manager.
ESSENTIAL FUNCTIONS
Accountability for Results: Holds self and team members accountable for achieving high-quality, timely, and cost-effective project outcomes. Monitors progress and ensures that performance standards are met.
Objective Setting & Delegation: Establishes clear project objectives, prioritizes tasks, and delegates work effectively to team members while providing guidance and support to ensure alignment with overall program goals.
Client Engagement & Scope Definition: Works closely with clients or customers to determine project requirements, define the scope of work, and establish deliverables that meet both client and organizational expectations.
Project Plan Development: Develops, modifies, and provides critical input into project plans, aligning them with program-level objectives and adjusting as necessary to accommodate changes in scope or resources.
Implementation of Project Plans: Executes project plans, coordinating activities to meet defined objectives, deadlines, and performance targets, while adapting to evolving requirements or constraints.
Integration of Project Activities: Ensures all project components and activities are well-coordinated and integrated across multiple stakeholders, promoting collaboration and efficiency across teams.
Resource Management: Manages project resources, including personnel, budget, and tools, ensuring optimal utilization to meet project goals while balancing competing demands and priorities.
Risk Monitoring & Mitigation: Actively monitors project activities and potential risks, taking proactive steps to mitigate risks and minimize the impact on timelines, budgets, or outcomes.
Quality Assurance: Implements and maintains quality assurance processes, ensuring that all project deliverables meet established standards and comply with customer requirements and organizational benchmarks.
Problem Solving & Corrective Actions: Identifies issues as they arise and takes swift corrective action, applying problem-solving strategies to minimize disruptions and ensure project continuity.
Project Presentations & Briefings: Regularly provides presentations and briefings to stakeholders, including clients and Program Managers, on project progress, milestones, challenges, and successes.
Project Reviews: Actively participates in project phase, milestone, and final reviews to ensure that each stage of the project meets expectations and any adjustments are made as necessary to ensure successful outcomes.
Documentation & Procedures: Identifies necessary documentation requirements and establishes procedures to ensure that all project-related information is well-documented, easily accessible, and audit-ready.
Product Release Planning: Develops and implements comprehensive product release plans, ensuring all deliverables are ready for deployment on schedule and meet customer needs and specifications.
SUPERVISORY RESPONSIBILITIES
This position will have supervisory responsibility.

Requirements Management: Knowledge of principles and methods for identifying, soliciting, analyzing, specifying, and managing project requirements, ensuring all project deliverables meet business and client needs.
Risk Assessment & Mitigation: Knowledge of principles, methods, and tools for assessing and mitigating project risks, including understanding potential failures and their consequences, and developing strategies to minimize risk impact.
Project Scheduling & Tracking: Expertise in strategies, techniques, and processes for planning, developing, and controlling project schedules, tracking milestones, activities, and deliverables, and ensuring adherence to project timelines and resource allocations.
Scope Management: Knowledge of processes for planning, monitoring, and controlling project scope, including gathering and validating requirements, creating work breakdown structures (WBS), and ensuring deliverables align with project specifications.
Project & Resource Management: Knowledge of principles, methods, and tools for managing project resources, scheduling activities, and coordinating efforts to ensure on-time and within-budget project completion. This includes tracking costs, overseeing work, and monitoring contractor performance.
Quality Assurance & Control: Knowledge of quality assurance, quality control, and reliability methods to ensure projects, systems, or products fulfill requirements and meet established standards.
Document Writing & Review: Ability to draft and review Government documents, project plans, and test procedures to ensure accuracy and compliance with standards.
Multi-Project Management: Strong multitasking ability to manage multiple projects concurrently while maintaining focus on key objectives and deadlines.
Proficiency in Microsoft Tools: Detailed working knowledge of Microsoft Office Suite, particularly Microsoft Project, to support project planning, tracking, and reporting.
Communication Skills: Excellent oral and written communication skills to effectively convey complex information in presentations, reports, and group discussions. Ability to tailor communication to diverse audiences, including clients and senior management.
Customer Service: Strong professional customer service skills, including active listening and proactive follow-up, ensuring that client needs are addressed promptly and effectively.
Conflict Resolution: Ability to manage and resolve conflicts or disagreements constructively, minimizing negative impacts and fostering a collaborative working environment.
Decision Making & Problem Solving: Strong analytical and problem-solving skills to make informed decisions and address project challenges efficiently.
Leadership & Influence: Ability to influence, motivate, and challenge others. Adapts leadership styles to suit various situations and team dynamics to achieve optimal results.
Corporate Policy Understanding: Ability to learn and understand corporate policies and procedures and align them with Yulista‘s goals to ensure project compliance and success.
