Key Responsibilities


Order Management:

  • Act as the primary point of contact for all queries related to customer orders, maintaining constant communication with internal customers, the sales team, and dealers.
  • Utilize SAP to enter orders, reserve inventory, and issue Pro-Forma invoices, ensuring accuracy and compliance with contractual terms.
  • Manage both inbound and outbound communications to update on order statuses and resolve any inquiries.


Promotions and Rebates:

  • Ensure all promotional conditions are met prior to order fulfillment and manage the processing of promotional items.
  • Coordinate with Finance to administer rebates and issue Gift Certificates.


Logistics and Finance Collaboration:

  • Work closely with the Logistics and Finance departments to streamline order flows and expedite shipping processes.
  • Track orders through credit clearance and facilitate quick resolution of payment issues.
  • Perform weekly stock reviews with the logistics department to ensure availability meets ongoing demand.
  • Liaise with headquarters to maintain adequate inventory levels and provide dealers with weekly updates on inventory status and delivery timelines.


Sales Support and Data Management:

  • Coordinate with the training team to ensure that the sales team is equipped with up-to-date information about products, promotions, and order processing procedures.
  • Maintain and update sales data post-shipment to ensure all records are accurate and up-to-date.
  • Compile and analyze sales data for reports and presentations, providing insights that can help drive decision-making at the executive level.


Process Improvement and Project Management:

  • Identify opportunities to streamline sales operations processes and recommend improvements to enhance efficiency.
  • Work with cross-functional teams to implement new systems or procedures that improve order management and customer satisfaction.
  • Experience with project management, including the ability to prioritize tasks and manage multiple responsibilities simultaneously.


Required Skills and Qualifications:

  • Proven experience in customer service or sales support roles, preferably within a technology or healthcare environment.
  • Strong proficiency in SAP and CRM systems or the ability and confidence to learn.
  • Excellent communication and interpersonal skills, capable of working effectively with cross-functional teams.
  • Detail-oriented with strong organizational and problem-solving skills.
  • Bachelor’s degree in Business Administration, Operations Management, or related field.
