We are seeking a full-time Administrative Assistant (Accounting) to support our Manager, Project Contract Administration. This role involves corporate administrative duties for sales offices, ensuring accurate record-keeping and transaction auditing. The position is key in moving deals from quotes to completion and billing, while maintaining compliance with company policies.
Responsibilities:
- Maintain up-to-date records for assigned branches
- Assist Sales Reps with Bidsheet completion
- Gather and review credit information
- Purchase buildings per company policy
- Complete branch billings
- Obtain Certificates of Insurance
- Handle UCC Filings
- Review project invoices for accuracy
- Prepare and distribute monthly reports
- Assist in Accounts Receivable collections
- Other duties as assigned
Qualifications:
- Minimum 3 years in accounts receivable and payable, invoicing, or contract administration
- Positive attitude and willingness to learn
- Strong computer skills, including advanced Excel
- Post-secondary certificate or degree in business administration preferred
- Detail-oriented, adaptable, and organized
