Membership Coordinator

Job Summary:
Under the direction of the Membership and Annual Fund Manager, the Membership Coordinator provides administrative support to the Museum's Membership and Annual Fund programs and serves as a liaison between the Museum and its donors. Key areas of responsibility include: developing and executing revenue-generating activities, gift processing, CRM maintenance, and data reporting.

Minimum Qualifications:
- Bachelor's degree or an equivalent combination of education, training, and experience in an administrative, customer service, or similar role.
- 2 years of experience in an arts and culture, education, or non-profit organization.
- Excellent interpersonal, written, and verbal communication skills.
- Excellent computer skills, including proficiency in Microsoft Office Suite.
- Detail-oriented and self-motivated, with exceptional organizational, analytical, and time management skills.
- Previous experience with CRM (Customer Relationship Management) or other database for data entry, report generation, and fundraising analysis.
- Ability to interface positively with high-level donors, sponsors, and stakeholders.
- Possesses good judgment and handles confidential information with discretion, acting with the best interests of the Museum in mind.
- Exhibits a polished presence, diplomacy, and a deep respect for and understanding of the local community served by the Museum and the Museum's vision, mission, and values.
- Honesty, integrity, enthusiasm, perspective, and a strong work ethic supported by commitment and follow-through.
- Ability to work within and support a diverse community of visitors, artists, and employees.
Desired Qualifications:
- Experience in fundraising, member services, sales, or donor relations and stewardship.
- Demonstrated experience in creating positive interactions with donors, sponsors, partners, and other stakeholders to meet or exceed fundraising and donor relations goals.
- Experience in a museum environment or nonprofit organization with multiple sites and varying degrees of need.
- Interest in exploring new software and other technologies to drive process improvements in fundraising and membership.
- Understanding of Honolulu Museum of Art's established identity and dedication to advancing it.
Essential Duties:
- Processes Membership and Annual Fund contributions from multiple channels into the Tessitura database in a timely manner, ensuring accurate donor information is included for tracking and acknowledgement.
- Manages HoMA's membership telephone hotline and member/donor services email accounts to field all questions and inquiries in a respectful and timely manner.
- Prepares and sends weekly acknowledgement letters to members and donors, including fulfillment of related benefits.
- Works with the Membership and Annual Fund Manager to plan and execute all revenue-generating campaigns, including renewals, lapsed recapture, acquisitions, upgrades, and Annual Fund solicitations.
- Works with the Membership and Annual Fund Manager to plan and execute calendar of member programs and events, including emailed digital content.
- Maintains the integrity of the donor database by ensuring proper coding of all donations, data entry procedures, and maintenance of donor contact information, adhering to best practices for data cleanliness.
- Works with Finance team to ensure accurate and balanced transaction records, provides updates and information regarding ongoing and planned campaigns.
- Manages list pulls for direct mail and email campaigns.
- Works with the Membership and Annual Fund Manager to generate reports, develop and maintain analytics dashboard to track program progress, and support executive reports.
- Fields membership/donor services questions in a respectful and timely manner in person or via telephone and email.
- Works closely with donors, members, and visitors in an inclusive and professional manner, creatively problem-solving and proactively maintaining positive relationships.
- Proactively participates in Tessitura training and increases institutional knowledge of the database.
- Provides general support to museum events and outreach as needed.

Compensation
The Honolulu Museum of Art is committed to practicing salary transparency. The minimum salary for this position is $20.00 per hour and the maximum salary is $24.00 per hour. Please note that the pay range information is a general guideline only. Many factors are taken into consideration when setting pay, including education, experience, the external labor market, and internal equity. Working Conditions and Atmosphere:
Works in an office environment. General office hours are Monday through Friday, 8:00 a.m. to 5:00 pm with flexible scheduling as needed. Ability to operate general office equipment including computer, copier, printers, fax machine, etc. Ability to lift, carry, push, pull, up to 25 lbs. of general office material or equipment. Ability to work some evening and weekend hours.
