Key Responsibilities of the Executive Assistant to the CEO:
- Elevate the CEO’s productivity by expertly managing calendars, scheduling meetings, and handling all communications with precision
- Orchestrate complex travel itineraries, covering everything from flights and accommodations to ground transportation. Manage travel expense reports with accuracy and efficiency
- Lead the coordination of executive meetings, including preparing agendas, taking minutes, and ensuring follow-up on action items. Plan and execute company events and executive off-sites with flair
- Prepare, proofread, and polish reports, presentations, and other documents to perfection. Keep confidential files and records impeccably organized
- Collaborate with the CEO on special projects, tracking progress and meeting deadlines with ease. Work closely with internal teams to drive successful project execution
- Act as the CEO’s communication hub, maintaining clear and timely interactions with internal and external stakeholders
- Dive deep into research, gathering data to inform the CEO’s decisions. Prepare insightful reports and summaries that support strategic planning
- Handle the CEO’s expense reports, budget tracking, and financial documentation with meticulous attention to detail
- Cultivate and maintain strong relationships with key stakeholders, facilitating collaboration across the organization
- Anticipate the CEO’s needs, tackle issues head-on, and deliver innovative solutions to keep operations running smoothly
Qualifications of the Executive Assistant to the CEO:
- At least 5 years of experience as an Executive Assistant, with a proven track record of supporting C-level executives in the construction or a related industry
- A Bachelor’s degree in Business Administration, Communications, or a related field is preferred
- Exceptional organizational prowess, a sharp eye for detail, and the ability to juggle multiple priorities in a fast-paced setting. Top-notch written and verbal communication skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
- Discreet, professional, and trusted to handle sensitive information with the utmost confidentiality
- Familiarity with the construction industry and its unique demands is a plus
