Job Title:                  Client Experience Coordinator

FLSA Status:             Non-Exempt

Reports To:              COO

Pay rate:                   $20-$22/hr depending on qualifications & experience


Position Overview:

The Client Experience Coordinator plays an important role in setting the tone for our firm. As the first and last person clients see when they are in the office, the Client Experience Coordinator is instrumental in making sure clients have a positive experience. This role is to support overall office operations, keep the office clean, and work with various departments to complete assigned administrative tasks.


Must-haves for this role:

o  Must be willing to independently use resources to solve issues as they arise

o  Self-starter, extremely detailed, flexible & process-oriented

o  Coachable and a team player

o  Ability to embrace company values and culture

o  Working knowledge of Microsoft Office (Word, PowerPoint, Excel, and Outlook)

o  Ability to use independent judgment to fulfill job responsibilities

o  Strong verbal and written communication skills, including the ability to write clear marketing and business correspondence.


Essential Job Functions and Responsibilities:

Client Experience Coordinator (~30% of role)

i.     Serve as initial contact person for clients. Make them feel like they are the most important person in the building

ii.     Get to know clients on a personal basis

iii.     Coordinate additional personal touch points, Marriage, Birth, Death, etc.

iv.     Answer phones … with a smile Manage phone system.

v.     Coordinate client beverage and snacks

vi.     Arrange client lunches in office… including ordering, set-up & clean-up.

vii.     Maintain the client service calendar and coordinate with Advisors to schedule client and COI meetings

viii.     Assist in maintaining and improving CRM

ix.     Support company operations and special projects as directed


General Office Duties (~20% of role)

i.     Deposit and distribute mail daily. Take certified mail and/or packages to the post office when necessary (no more than 1 day/week).

ii.     Receive UPS, FedEx, and USPS deliveries and distribute as needed.

iii.     Load and unload dishwasher, water plants, keep water filled at coffee station, keep kitchen & coffee/beverage station clean, neat, and stocked, fill candy bowl, and maintain office supplies.

iv.     Watch all office supplies order as needed and disperse.

v.     Grocery management for office (weekly ordering and organizing)

vi.     Keep printer stocked with paper.

vii.     Check PO Box weekly.

viii.     Coordinate outside meetings including ordering, set-up & clean-up as needed.


Marketing Coordinator (~30% of role)

i.     Prepare marketing overview for weekly meetings.

ii.     Submit marketing pieces to compliance for approval and coordinate follow-ups as needed.

iii.     Assist with employee onboarding including the website, name tag ordering, signature creation, welcome basket, office preparation, etc.

iv.      Support with client relation activities such client events, prospecting events, and special events.

v.     Order, track, organize, and inventory marketing supplies.


Event Coordinator (~10% of role)

i.     Schedule and plan firm events; order food, set-up, and coordinate clean-up

ii.     Manage events, invitations & follow-up to confirm attendance

iii.     Coordinate employee events


Miscellaneous (~10% of role)

i.     Other admin duties as assigned.

Qualifications:

o  High School Diploma (Required)

o  3 years of office experience/customer service knowledge (Required). Hospitality experience is a plus.
