Position: Onsite Office Coordinator

Pay Rate: Up to $29/hr

Location: 100% Onsite in Princeton, NJ

Employment Type: Contract

Key Responsibilities:

  • Perform data entry to support the transition to a new meeting tracking technology.
  • Assist with various tasks related to the preparation and execution of on-site staff events and meetings.
  • Provide support for team meetings, including creating agendas, taking notes, and ensuring follow-up on action items.
  • Assist multiple staff members with daily tasks such as scheduling meetings and managing calendars.
  • Handle invoice reconciliation and prepare documents for payment.

Minimum Requirements:

  • At least two (2) years of experience in office coordination. Meeting planning experience is a plus.
  • Understanding of diversity, equity, and inclusion principles, with the ability to work effectively in a multicultural environment.
  • Proficiency in Microsoft 365 (Outlook, Word, Excel).
  • Familiarity with basic audio/visual tools for meetings.
  • Experience with Zoom or other virtual meeting platforms is a plus.
  • Strong problem-solving skills, with good judgment and the ability to seek help when needed.
  • Exceptional attention to detail and follow-through.
  • Reliable customer service skills, with the ability to represent RWJF professionally.
  • Strong verbal and written communication skills. Experience in note-taking is a plus.

Additional Information:

  • Project management experience is highly desirable.
