Position Title: Contract Coordinator

Length of Assignment: 8 months

Location/Site: Hybrid in North Chicago, IL (60064)


Purpose:

The primary goal of this position is to partner with customers to resolve Contract Management System (CMS) issues efficiently through various communication channels, including phone, email, and Microsoft Teams. The role involves providing support and guidance to professionals across the CMS customer base and ensuring accurate contract processing within the CMS. Prior experience with contractual agreements and familiarity with different CMS applications is essential.

Responsibilities:

  1. Develop an in-depth understanding of the CMS platform.
  2. Respond to customer inquiries promptly and accurately.
  3. Assist with navigation and how-to questions related to various workflows, such as onboarding, contract review, and Adobe Sign contract execution.
  4. Collaborate with internal stakeholders to identify and implement improvements to external/internal CMS communications, reference/training guides, and iHUB system “help text” functionality.
  5. Diagnose software issues and liaise with systems teams to resolve roadblocks.
  6. Monitor the status of contracts for US, OUS consultants, and affiliate Client-managed contracts.
  7. Independently review, draft, and process standard boilerplate contractual template agreements through the CMS.
  8. Respond to Client Consulting hotline inquiries and direct calls to the appropriate resources.

Qualifications:

  • High school diploma or equivalent required; some college education preferred.
  • 2-4 years of experience in a contracting, customer service, or administrative role, preferably within the pharmaceutical industry, with a commitment to delivering high-quality customer service.
  • Proficiency in Microsoft Word, Excel, Outlook, OneNote, Teams, DocuSign, and Adobe Sign.
  • Experience with Smartsheet is a plus.
  • Strong aptitude for systems and business processes.
  • Ability to interface effectively with all levels of Client employees, external Healthcare Professionals, Scientific Advisors, Vendors, and Patients.
  • Quick learner with excellent attention to detail, strong problem-solving abilities, and critical thinking skills.
  • Exceptional communication, presentation, and interpersonal skills, with a dedication to providing outstanding customer service.
