Purpose

The Procurement & Contracts Specialist oversees and negotiates agreements with suppliers and clients, offering contractual support to stakeholders throughout the organization. This role requires familiarity with legal terminology and contract management. The objective is to safeguard the organization's interests, ensure seamless contract execution, and support strategic goals.


Delivery

  • Review, draft, and negotiate various contractual agreements, such as non-disclosure agreements, service agreements, and purchase agreements; work may be done independently or, for more complex agreements, in collaboration with subject matter experts from the legal department.
  • Ensure compliance of contracts with legal requirements and organizational policies.
  • Review vendor and subcontractor contracts and provide recommendations to stakeholders.
  • Manage contract change requests, amendments, and extensions.
  • Maintain precise contract records and documentation.
  • Research regulations to ensure contracts are current and compliant with laws.
  • Oversee procurement activities, ensuring adherence to organizational policies and procedures.


Engagement

  • Coordinate with the financial department to ensure effective management of financial aspects of contracts.
  • Liaise with the legal department to ensure all contracts meet legal standards and regulations.
  • Support various divisions within the organization by providing expertise in contract drafting, review, and management to ensure successful implementation of contract terms.
  • Collaborate with internal stakeholders, including department heads, project managers, and legal advisors, to understand and fulfill contractual needs.
  • Work with other departments to identify opportunities for continuous improvement in the contracting process.
  • Serve as the primary liaison with external contracting representatives.
  • Manage vendor relationships and monitor performance to ensure quality and timely delivery of goods and services.
  • Engage with suppliers and clients to negotiate terms, conditions, and pricing that align with organizational goals.


Knowledge, Skills, and Abilities (KSAs)

  • Bachelor's degree in Business preferred.
  • Minimum of 3-5 years of experience in contract administration or a related field.
  • In-depth understanding of contract laws and regulations.
  • Strong analytical and problem-solving skills.
  • Excellent oral and written communication and negotiation skills.
  • Ability to work collaboratively with cross-functional teams as well as independently to complete assigned tasks.
  • Attention to detail and accuracy in contract management.
  • Familiarity with procurement processes and project management methodologies.
  • Proficient in Microsoft Office Suite and Coupa spend management system or other similar Procure-To-Pay systems.
  • Strong organizational, analytical, and problem-solving skills.
