Administrative Assistant

The ideal candidate will be a friendly, professional, and independent, office administrator who has excellent interpersonal, time management and computer skills with a knack for positively engaging with our employees, clients, vendors, and suppliers.
Responsibilities:
Reception
- Answer general phone inquiries with a professional demeanor
- Direct phone inquiries to the appropriate staff members
- Reply to general information requests with accurate information
- Greet clients/suppliers/visitors/vendors in a friendly and professional manner
Office Administration
- Support various departments with administrative tasks, such as data entry, filing, and research.
- Prepare reports, memos, and documents
- Receive, distribute, and send office mail/FedEx
- Monitor general voice mail and email box and forward to the appropriate staff member
- Purchase, receive, store and monitor office supplies, ensuring that basic supplies are always available
- Maintain accurate and up to date databases such as contact lists and organizational charts
- Back up electronic files
- Coordinate the maintenance of office equipment
- Manage and maintain vendor relationships
- Schedule meetings and take meeting minutes
- Update company calendar
- Arrange travel for staff
- Responsible for sending out lien notices per applicable state laws.
- Adhere to deadlines.
- Ensure the office environment is clean, organized, and welcoming.
- Handle confidential information with discretion and uphold data protection policies.
Qualifications:
- High School Diploma required
- College education in business, computers, or office management desired, but not required
- Excellent communication, time management and organizational skills
- Ability to multi-task and complete assigned duties within a specified time frame
- Able to work independently and with minimal supervision
- Effective judgment and decision-making skills
- Superior typing and computer skills, Microsoft office, (strong in Word, Excel, PowerPoint and Outlook)
- Skilled at working in web-based programs, databases, internet
- Ability to keep protected information confidential
We will be compensating our ideal candidate with an hourly rate of $17.00 to $19.00 an hour based on experience.
