Administrative Assistant

 

Job Summary:

This full-time Administrative Assistant is a customer service-oriented role that provides general administrative support to the accounting and administrative departments. Reporting to the Director of Administration, you will assist in servicing all internal and external stakeholders while successfully meeting business objectives. This position will complete a range of clerical tasks while working following company policies, procedures, and programs.

 

 

Job duties:

 

  • Provide day-to-day administrative support to internal departments.
  • Oversee the administrative needs of the offices, including the ordering of supplies, maintenance, and maintaining a professional office environment
  • Process incoming and outgoing mail and distribute it to the intended recipients.
  • Provide organizational support, including managing calendars, scheduling meetings, and making travel arrangements.
  • Prepare and transcribe documents, correspondence, and reports.
  • Coordinate and manage projects, ensuring deadlines are met and deliverables are completed.
  • Perform data entry and maintain accurate records.
  • Assist with document management, including organizing and maintaining electronic and physical files.
  • Facilitate the ordering of computer hardware and peripheral devices, such as printers; monitors and laptops.
  • Contribute to process improvement efforts by identifying areas for improvement and proposing solutions.
  • A commitment to embrace the company’s mission-centric culture through alignment of personal behaviors with the company’s core values
  • This person will assist the department with general accounting duties and participate in other general office activities.
  • Flexible nature to manage competing and changing priorities

 


Preferred Qualifications:

  • High school graduate or equivalent required
  • 2+ years’ relevant experience


Technical and professional skills:

  • Ability to organize and prioritize work and respond to changing situations with a sense of urgency.
  • Ability to effectively communicate verbally and in writing.
  • Ability to work independently with minimum supervision.
  • Excellent customer-service attitude required.
  • Experience working in a high-volume deadline-driven environment.
  • Attention to detail and ability to think analytically.
  • Proficient computer skills with Microsoft Office software (Outlook, Word, Excel, PowerPoint, Access, etc.) is required.
  • Strong problem-solving skills, documentation skills, research, and resolution skills.
