Administrative Assistant to Creative Director

Our client, a prestige beauty brand, is hiring a Administrative Assistant to the Global Chief Creative Director to join their team onsite in NYC at a hybrid capacity. This is a temporary role with the ability to become permanent based on performance and the needs of the business. The ideal candidate should be a true team player, have exceptional communication and organizational skills and feel comfortable working in a fast-paced environment.
Job Duties Include:
- Manage calendars for multiple executives, including scheduling meetings and appointments
- Assist in organizing office and off-site events and meetings
- Collaborate with other staff on cross-functional events and meetings
- Define tasks, delegate, and plan to meet milestones and deadlines
- Manage incoming requests, phone calls, emails, and other correspondence
- Provide general administrative support to executives and teams, such as ordering office supplies and submitting expense reports
- Partner with the travel manager to coordinate travel arrangements, including itineraries and agendas for executives
- Liaise with the Finance team to set up new vendors, track invoices, and process payments as needed
- Maintain strong communication and working relationships with other departments and administrative staff
- Perform other tasks and responsibilities as assigned
Job Qualifications Include:
- 2+ years of experience as an Administrative Assistant in a corporate environment, preferably in high-growth companies within Beauty, Consumer Products, Luxury, or Technology
- Bachelor’s Degree required
- Master’s Degree is a plus
- Proactive mindset with the ability to multitask and prioritize issues.
- Exceptional organizational skills and attention to detail.
- Excellent verbal and written communication skills
- Proficient in MS Office and comfortable managing Outlook calendars, Teams, and Zoom meetings
- Professionalism and flexibility to assist and accommodate accordingly
Salary: $75k - $85k annually
