The Division Coordinator plays a critical role in delivering exceptional support to the internal division. This position will be engaged in administrative, operational, project management, and corresponding activities. This includes collaborating with Sr Management and sales team to oversee and manage projects that span our division, ensuring they are executed with precision, meet deadlines, and achieve the desired outcomes.


Other responsibilities include organization, multi-tasking, instruction comprehension, professional communications, and technical adeptness to successfully use applications including Salesforce, iPro, and Microsoft Office Suite.


Responsibilities:

  • Works closely with sales Sr Management on various projects to support the division.
  • Schedules meetings, coordinates travel, and reconciles expenses as needed.
  • Assists with planning and execution of on-site and off-site meetings as needed.
  • Performs essential organizational duties including maintaining spreadsheets, managing shared calendars, and systematizing digital files.
  • Manages and traffics all team signature requests.
  • Works with sales Sr Management to help maintain travel budget spreadsheet by tracking team requests, obtaining necessary approvals, and sending authorizations for signatures.
  • Works with sales Sr Management to manage client donation & sponsorship budget spreadsheet by tracking monthly requests from sales team to ensure adherence to budget.
  • Executes client donations & sponsorships by submitting invoices in iPro and following up on approval process to ensure timely payment.
  • Maintains client event calendar to ensure deliverables are met for client sponsorships.
  • Helps manage nonprofit membership spreadsheet, tracks membership benefits, upholds membership dues, and reports upcoming member events to leadership team. (only applies to Non-profit Division Coordinator role)
  • Supports sales team by entering opportunities, requesting contracts, and providing general assistance within Salesforce.
  • Fulfills payments for nonprofit invoices as needed.
  • Works closely with sales Sr Management on various administrative projects as needed.
  • Perform other miscellaneous duties as assigned by management.


Qualifications:

  • Bachelor's Degree or equivalent is required.
  • 2+ years of administrative experience preferred.
  • Ability to plan, prioritize, and organize a diversified workload with strong attention to detail.
  • Aptitude for setting and hitting critical deadlines.
  • Understanding of Salesforce to track performance.
  • Exceptional communication skills to liaise with business unit partners, identify their needs and provide clear, well-written updates.
  • Strong analytical and problem-solving skills.
  • Excellent time management skills.
  • Proficient knowledge of MS Office Suite (Word, Excel, Outlook, PowerPoint) and Internet technologies.
