Location: Dallas, Texas – ABOG National Center; Hybrid Work environment with expectation for 60% in office. Meeting Travel Required (up to 10%) as needed.

FLSA Status: Exempt

Summary: The GME (Graduate Medical Education) & Subspecialty Division Manager will work to manage processes for Residency and Fellowship Training Programs as well as manage day-to day engagement with trainees and program managers. The ideal candidate will also support the Director of Certifications Standards & GME Affairs in planning and executing Division Meetings.

Essential Duties and Responsibilities:

  • Residency and Fellowship Training Programs:
    • Communicate with specialty societies, professional membership organizations, etc. to ensure regular communication regarding relevant updates about ABOG.
    • Act as liaison to ACGME-accredited program faculty and staff regarding ABOG certification standards and requirements. Respond to inquiries via phone and email; resolve issues related to training requirements for initial certification.
    • Implement and utilize systems to verify compliance of Board certification standards to ensure physicians’ minimum training requirements are met for initial certification, including independent physician training verification.
    • Develop a process to survey residents and fellows annually. Maintain necessary program records and documentation. Analyze reported data and prepare reports for the Director of Certification Standards.
  • Manage day-to day engagement with trainees and program managers to ensure appropriate communication of all deadlines and responsibilities striving to provide long lasting relationships with candidates and diplomates
  • Ensure accurate and timely communications are sent to programs regarding ABOG certification standards.
  • Provision of support and instruction to programs on the use of ABOG software/applications; oversee the development and revisions of Frequently Asked Questions (FAQs) documents related to OB GYN or the applicable subspecialty; conduct instructional meetings for program personnel and new directors or division members as required.
  • Manage the Annual Reports for five subspecialty groups which includes reviewing each report for completeness and accuracy. Notify programs regarding reports submitted with inaccuracies and missing data; ensure the completion of these items prior to annual division meetings.
  • Assign annual reports for review by the subspecialty division members and communicate accordingly.
  • Administrative Support for Subspecialty Divisions:
    • Coordinate quarterly Division Director conference calls and additional calls as needed.
    • Respond to inquiries from the divisions and forward to with essential background information to adequately answer the query if needed.
    • Assist with preparation of presentations and reports for Division Directors to present to external stakeholders such as the Board of Directors of subspecialty societies and program directors’ meetings.
    • Plan and prepare for annual and interim meetings of the 5 subspecialty divisions each year (10 meetings total). Create agendas for each meeting day and for the business meeting; coordinate with Chief of Assessments regarding meeting needs and agenda items.
    • Scan and catalogue all supporting documentation for an electronic meeting agenda for each division.
    • Staff division meetings and work with Directors to execute the agendas, record group consensus on actions, and document material for all salient meeting information.
    • Organize meeting planning and event management working with the ABOG Meeting and Event Manager including securing contracts for hotel, transportation, catering, etc following policies and budgetary restrictions

Skills and Qualifications:

  • Demonstrable Proficiency: Candidates may be required to demonstrate proficiency in essential skills during the interview process.
  • Bachelor’s Degree Preferred.
  • Five or more years of relevant experience required
  • Must possess basic statistical knowledge
  • Strong background and experience in GME, accreditation, certification systems, program evaluation, or educational research preferred
  • Administration or management experience in a related area required
  • Prior experience in an administrative or educational role in a surgical or related program highly desirable
  • Proven interpersonal and diplomatic skills, including the ability to work with physicians, act as a liaison with various groups, and achieve consensus with disparate stakeholders; ability to interact credibly with those involved in graduate medical education required
  • Must have a demonstrated ability to successfully manage multiple simultaneous ongoing projects
  • Must have the demonstrated ability to communicate effectively in writing, and polished verbal and public speaking skills; must be able to prepare well-written correspondence appropriate to ABOG Board of Directors and stakeholders (medical professionals in particular)
  • Must have analytical and conceptual thinking skills, and the ability to clearly communicate analysis and ideas
  • Must have experience in and the ability to work with and interpret data to make and justify decisions
  • Must have demonstrated management and team-building skills
  • Must have experience developing and delivering presentations to small and large groups virtually and in person
  • Must be familiar with higher education programs and their structure, application, and accreditation
  • Must have a comfortable familiarity with use of the Internet, web-based programs, online meeting software, and computer software applications of Word, Power Point, Excel, Office, Teams, and Zoom
