The Executive Assistant & Donor Relations Manager is a key staff member supporting the President + CEO in various administrative duties and projects. The EA serves as the main point of contact for board members, donors, and partners and represents the organization on all matters pertaining to the President + CEO and leads internal and external special projects to enhance and support the organization’s mission. This role can catalyze a successful career in nonprofits or philanthropy for the right candidate.

Responsibilities of the Executive Assistant & Project Coordinator:


Executive Assistant Duties (70%):

  • Manages the President + CEO’s calendar, inbox, and database entries with the highest level of confidentiality and accuracy
  • Prepares for and documents meetings by creating agendas, PowerPoint presentations, taking minutes, attendance, and follow-up items
  • Serves as the liaison between the CEO and external stakeholders, including board members, donors, partners, and volunteers
  • Coordinates expense management items, credit card reconciliations, and invoice payments
  • Assists in organization-wide public and philanthropic events as required
  • Greets callers and visitors and prepares for meetings as required


Philanthropic Duties (15%):

  • Supports philanthropic campaigns by generating reports and data and helping with mailings
  • Manages a calendar of touch points with current and prospective supporters
  • Organizes communications with our client's donor community, including newsletters and annual reports


Special Projects (15%):

  • Serves in a cross-functional capacity to support projects as assigned
  • Interfaces with artists, donors, external partners, teammates, and volunteers to collect information as needed
  • Manages project timelines, resources, and budgets while keeping President + CEO well-informed of challenges and successes


Qualifications of the Executive Assistant & Project Coordinator:

  • The ideal candidate will have a minimum of an Associate Degree in Communications, Business, Office Administration, or a related field and/or equivalent education and experience
  • Two to three years of work experience in an administrative role
  • Excellent verbal and written communication with the ability to connect across a variety of lived experiences
  • Demonstrated ability to work in a team, collaborate, and manage projects to completion
  • Able to work independently and make sound decisions while operating within a team framework
  • Ability to work a flexible schedule as dictated by the needs of the business for projects and meetings
  • Advanced proficiency in Microsoft products, including SharePoint, PowerPoint, Excel, and Word
