Ideal candidates will undertake administrative and project coordination tasks for a variety of Information Technology support contracts. The tasks of the Project Coordinator will include administration of project scheduling and tracking, purchasing, invoicing, and maintaining organized file systems (electronic and physical) for the organization. The ideal candidate will be competent in prioritizing and working with minimal supervision and will be responsible for the following:
Duties & Responsibilities:
- Coordinate specified project activities and operations as directed by supervisor or senior management
- Manage phone calls and correspondence with customers, vendors, and employees (e-mail, letters, packages etc.)
- Support invoicing, budgeting, accounting, and bookkeeping procedures
- Create and update records and databases with schedule, financial, and other data
- Coordination with project teams to ensure project work completion and time recording
- Ensure all assigned performance targets and deadlines are met
- Place orders for materials and supplies as directed
- Submit timely and accurate reports as directed
Required Qualifications:
- High School diploma, and 3-5 years of experience in a similar role
- Proven experience as a project coordinator, office administrator, or similar role
- Experience generating purchase requisitions, purchase orders, and use of associated software applications for material ordering
- Outstanding oral and written communication skills and interpersonal abilities
- Excellent organizational skills
- Attention to detail and problem-solving skills
- Excellent time management skills and the ability to prioritize work
- Familiarity with office management procedures and basic accounting principles
- Excellent knowledge of MS Office and office management software (MS Excel, MS Word, Adobe Acrobat Pro)
- Ability to pass pre-employment background check and drug-screening
- Ability to pass Level 2 Background check per site contract requirements
Desired Qualifications:
- Preference will be given to candidates with experience Federal, State, or Local Information Technology (IT) contracts
- Experience with CostPoint or comparable Enterprise Resource Planning (ERP) software
- Experience with ServiceNow IT Service Management (ITSM) software
Working Conditions/Physical Requirements:
- While performing the duties of this job, the employee regularly works in an office setting with a fast paced and performance-oriented environment.
- While performing the duties of this job, the employee is regularly and independently required to use hands and fingers to handle, feel, or operate objects, tools or controls; reach with hands and arms; talk; twist; bend; remain stationery for extended periods of time; see, read, comprehend and manipulate computer screens; communicate via computer and telephone; and travel to various locations throughout the office. Some travel to customer sites throughout Okaloosa County, FL may also be required.
