We are seeking to hire a Provider Electronic Visit Verification Compliance Specialist (Administrative Specialist 1) to join our Office of Developmental Disabilities Services (ODDS), Technical Assistance Unit team.

What you need to qualify

Two years of secretarial or basic administrative support experience that includes records processing, generating documents, and gathering and sorting data.

OR

An associate degree in general office occupations and one year of experience with records processing, generating documents, and gathering and sorting data.

OR

An equivalent combination of education and experience.

Your duties at a glance

The Office of Developmental Disabilities Services (ODDS) provides opportunities to link services for Oregonians who have intellectual and/or developmental disabilities. As part of its function ODDS oversees an array of services including but not limited to residential, in-home, employment, family support, crisis, and case management delivered through a state field structure or agreements with county governments or subcontracted agencies.

ODDS is responsible for the development and administration of programs that support children and adults with intellectual or other developmental disabilities to remain in their own home or community.

The Technical Assistance Unit supports the information technology utilized by ODDS Programs and staff. The systems are designed to ensure the Program's mission/goals/programs and business practices are supported by information technology and for ensuring providers are paid accurately and timely.

As a Provider Electronic Visit Verification (EVV) Compliance Specialist, you will review providers compliance with the eXPRS system through the Electronic Visit Verification (EVV), which is a federal requirement. You will send communication out as it relates to EVV and assemble evidence packets for termination. Additionally, you will provide insight and feedback on application enhancements as well as provide end user testing during application development.

This includes:

  • Sending out monthly communications and notices.

  • Ensuring the content is consistent, complete, and all corresponding documentation has been provided.

  • Identifying potential compliance issues and referring to program specialists and/or unit manager for further action as required.

  • Coordinating between various agencies to provide and obtain information needed to support and ensure accurate and timely processing of compliance in accordance with predetermined deadlines.

  • Compiling evidence packets for Administrative Law Judges (ALJ) for termination.

  • Verifying compliance of provider in the eXPRS payment system.

  • Retrieving data from eXPRS regarding EVV compliance.

  • Producing renewal reports and other statistical reports.

  • Compiling statistical data for reports, special requests for budget purposes, requests made from agencies or individuals for release of public documents in accordance with required timelines.

  • Collecting and distributing data for program compliance of EVV.

  • Coordinating with the ODHS forms unit to update and maintain compliance forms.

  • Fielding calls to management and staff by obtaining necessary information, responding to the caller, providing solutions, and determining if the manager should be notified or involved.

  • Coordinating meetings and obtaining meeting rooms and notifying attendees.

  • Developing forms, procedures and operational manuals used in day-to-day unit operations.

  • Developing and identifying new procedures and/or systems that promote efficiency and ensure a successful workflow of information between agencies and service providers.

  • Communicating orally, electronically, and in writing to various state/local agencies and organizations.

  • Producing reports, letters, documents, or special assignments using proper grammar, punctuation, and spelling.

  • Providing technical expertise and support to eXPRS end users.

  • Keeping logs and statistics related to program or operation.

  • Taking and compiling minutes at meetings.

  • Maintaining metrics.

Working conditions
  • Working remotely will be considered in filling this position. Your official workstation will be at our Salem office but the opportunity for remote work at a local office or other remote location will be considered depending on work performance and business need. The ability to report to Salem is required when business or operational needs are dependent on onsite activities.

  • This is a high stress environment due to the high volume of workload.

  • You will have direct interaction with service providers and contractors, who are at times highly distressed.
