Summary Statement

This is experienced level fiscal associate work recording, reviewing, and processing financial transactions, records and documents in support of the State’s financial operations. In addition to work performed by a Fiscal Associate I, employees independently perform the full range of Essential Functions under general supervision, including routine and complex support work. Examples of factors contributing to complexity include applying advanced technical knowledge and applicable state or federal laws, rules, and regulations to review, post, process and recommend approval of a variety of financial transactions, records and documents.

Essential Functions

Essential functions are fundamental, core functions common to all positions in the class series. These functions are not an exhaustive list of all job duties for any one position in the class. Since class specifications are descriptive and not restrictive, employees can complete job duties of a similar kind not specifically listed here. Reviews forms and source documents such as bills, receipts, invoices, claims, or service contracts to complete purchase orders; confirms accuracy, completeness, required documentation and approvals in compliance with applicable procedures, practices and standards. Verifies or determines correct classification and coding of transactions. Uses commercial and proprietary automated information systems and computer software to enter, update, modify, delete, retrieve and report on data.  Uses standard formulas to perform and verify calculations; monitors balances and identifies and reports discrepancies.  Creates and maintains financial records, documents and files. Prepares reports and summaries on the status of accounts or other financial data. Participates in recommending changes to internal procedures, forms, or process enhancements. Gathers and compiles data for higher-level staff. Performs general office work and functions as assigned such as preparing correspondence and distributing documents. May perform payroll entries and process payroll in automated information systems. Delivers excellent customer service to internal and external customers and the public in person, electronically, or by written communication. Communicates and interacts effectively with people across cultures, ranges of ability, genders, ethnicities, ages, and races. 

Job Requirements

JOB REQUIREMENTS for Fiscal Associate II Applicants must have education, training and/or experience demonstrating competence in each of the following areas: Six months' experience in processing accounting, auditing or payroll transactions following applicable laws, rules, regulations, standards, policies and procedures. Six months' experience in determining compliance of financial transactions with required documentation, computations, codes, signatures, rules or regulations.  Six months’ experience in preparing financial reports such as combining and presenting financial data from multiple sources in an organized format. OR Possession of an Associate's degree or higher in Accounting or related field.

Conditions of Hire

Applicants must be legally authorized to work in the United States. This position is a classification organized under an exclusive bargaining representative (labor organization) that has been elected by employees as their representative for collective bargaining and other applicable terms and conditions of employment, in accordance with Title 29, Chapter 59 and Title 19, Chapter 13 and 16. This position is covered by a collective bargaining agreement based on its individual terms. Criminal background check: A satisfactory criminal background check is required as a condition of hire. The recruiting agency may require the applicant to pay for the criminal background check as part of the conditional offer of hire.
