The Montana Historical Society (MTHS) seeks an energetic and talented full-time Event Coordinator.We are growing – creating a world-class Heritage Center that will be a destination, a gathering place, and a space to tell the stories of Montana to all. The Montana Historical Society preserves Montana’s past, shares our stories, and inspires exploration, to provide meaning for today and vision for tomorrow. We are looking for an individual that will contribute to that mission by offering the public exciting and innovative ways to experience Montana’s history.

The ideal candidate is a motivated, energetic team member who has valuable event planning skills and will embrace the position’s role in leading efforts to manage the multiple event spaces the new Montana Heritage Center will have to offer.

Function:

The Event Coordinator will oversee planning, directing and coordinating operations and functions for the Montana Historical Society's event spaces.This will include the Montana Heritage Center’s Event Center, Main Commons, Historic Lobby, Classrooms, and other spaces.The successful candidate will also work with the marketing and development staff to promote the Montana Historical Society facilities to rent.

Representative Duties:

·Develop strategic plans and procedures to ensure facilities are managed in alignment with the organizational mission.

·Manage project timelines and priorities.

·Take appropriate measures to protect visitors, personnel, and the organization from risk and loss.

·Demonstrate tact and diplomacy during conflict and manage conflict to a successful resolution.

·Model best practices to serve as an example for others.

·Demonstrate operational management skills, including writing policies, procedures, reports, and/or coordinating aspects of events at MTHS.

·Develop and maintain partnerships with internal and external stakeholders.

·Develop and oversee thematic events in cooperation with other MTHS programs.

·Create, obtain, or select necessary food, entertainment, and decorations to improve event presentation to general audiences.

·Oversee the contract and reservation process and track the budget.

·Conduct event evaluations and attendee surveys to evaluate event satisfaction and identify areas for improvement.

·Inspect facility rental spaces to manage use, inventory, and maintenance of event space supplies including items such as tables, chairs, tablecloths, etc.

·Oversees contractors, employees, and volunteers in facility rental spaces.

·Work with the marketing and development staff to promote the Montana Historical Society facilities to rent.

·Coordinate security for events.

Knowledge, Skills and Abilities:

·Experience in tracking and managing a budget.

·Knowledge of managing contracts.

·Ability to multitask.

·Ability to communicate clearly both verbal and written.

·Ability to create networks.

·Ability to be creative.

Minimum Physical/Mental Requirements:

May require 8 or more hours a day. May require more than a 40-hour workweek. May work weekends or after hours to coordinate events. May require lifting bulky, equipment, up to 40 pounds. Will require frequent contact with the public.

Qualifications :

·Bachelor’s degree.

·2 years’ experience.

·Other combinations of education or experience may be substituted.
