Job Summary

The Loudoun County Health Department is seeking a dynamic and Skilled individual to join our team as an Administrative Assistant. This position will report to the Assistant Director of Environmental Health Services and will be based in our Central office located at 1 Harrison St. SE, Leesburg, VA 20175. The core work hours will be Monday through Friday, from 8:30 to 5:00

Under general direction, this position will perform a variety of complex administrative, customer service, project, and special program support tasks. Responsibilities include providing purchasing and administrative support to the Assistant Director and various programs within the Environmental Health Division of the Health Department. The incumbent in this position will be responsible for a wide range of administrative duties, including data collection, budget tracking, purchasing, supply ordering, research, maintenance requests, filing, scheduling, meeting coordination and other operational functions within the Environmental Health Division.

Responsibilities include but are not limited to:

Coordinates meetings, presentations, catering, and some events. Provides Customer Service. Answers and transfers phone calls, screening when necessary. Orders Office Supplies and Equipment. Assist with the administrative function of supporting the Section motor pool vehicles. Handles Incoming and Outgoing Mail. Coordinates Storage and Records Retrieval, inventory control and management. Maintains and tracks data using spreadsheets and/or databases; maintains statistics and documents. Provides administrative support for individuals or teams; records information; generates notices and maintains records. Assists with forms, editing, proofreading, submissions, and procedures. Provide support to teams within Environmental Health. Monitors copiers, scanners, printers, and fax machines used in the Department and assures all equipment is operational; arranges for regular service and/or repairs; places facility work orders for the Department. Manages booking and operations of the conference room; maintains the appearance of the conference room. Reconciles daily receipts or accounts receivable/payable. Prepares meeting schedules, agendas, and packets; records meetings, prepares minutes and maintains meeting records. Retrieves information as requested from records, emails, minutes, and other related documents; prepares written summaries of data when needed.
The ideal candidate should have the following:
Knowledge of business English, proofreading, and spelling. Excellent written and verbal communication skills. Ability to greet visitors, clients, and colleagues in a friendly and courteous manner. Understanding of clerical procedures and systems such as recordkeeping and filing. Ability to work independently and identify and solve problems. Ability to organize and prioritize work. Attention to detail. Extensive knowledge of office management systems and procedures. Proficient in Microsoft Office Suite or similar software. Ability to maintain confidential information.

Minimum Qualifications

High School diploma or equivalent; three (3) years of related clerical/administrative work experience with computer automated systems and office applications experience; or equivalent combination of education and experience.
