Job Summary

Loudoun County's Department of Parks, Recreation, and Community Services is seeking qualified applicants for a full-time Assistant Venue Coordinator at The Lodge at Hanson Park, a public and private events venue located within the 257-acre Hal & Berni Hanson Regional Park, in Aldie, Virginia. Opened in 2023, The Lodge is the county's first dedicated special events venue and features 3,500 square feet of event space complemented by the vaulted ceilings, elegant exposed beams and a stunning floor-to-ceiling stone fireplace. 

The Assistant Venue Coordinator will support daily operations of The Lodge by working collaboratively with the Venue Coordinator in overseeing venue operations, event planning, and ensuring flawless execution of client events. The ideal candidate must display exceptional customer service and professionalism at all times and demonstrate excellent oral and written communication skills in daily interactions. Attention to detail, organizational and time management skills are key to the position.

Responsibilities will include:

Meet with prospective clients regarding venue needs for event. Work directly with Venue Coordinator to create and prepare event orders, schedule staff for setup and breakdown of events. Contract with venue users by executing agreements, making and maintaining bookings, collecting fees, and ensuring the venue is ready for client events. Develop and manage marketing plan to promote The Lodge; create and update marketing materials; prepare social media advertising channels; attend trade shows and similar events. Assist with daily operations of The Lodge, including cleaning, ordering supplies, and small maintenance tasks. Ensure users follow all established county policies and procedures. May perform other essential job functions specific to the position and department assignment. This position has no supervisory responsibilities but may direct work of temporary staff.

The work schedule varies following operational needs and may include weekday, evening, weekend hours and possible holidays.

Minimum Qualifications

High School diploma or equivalent and two (2) years of directly related experience; or equivalent combination of education and experience.

Preferred Qualifications:

Associate's degree in hospitality management, tourism, event management, marketing or a related field. At least two years of experience working in hospitality sales and service. At least 6 months experience with iVvy venue management software, or similar software.

Job Contingencies and Special Requirements

Criminal, credit, and DMV background checks are required. Valid drivers license and good driving record are required (driving records may be reviewed annually for continued qualification.
