The Programme Support role involves various responsibilities aimed at assisting the planning, execution, and monitoring of the Royal Residences Review (RRR) programme. This role is crucial in ensuring that projects run smoothly and efficiently.


Key responsibilities include:


??      Administrative Support:

o  Managing schedules, meetings, and communication.

o  Assisting in the preparation of Programme and Project documentation and reports and distributing. 

o  Maintaining accurate records and documentation, including taking minutes at meetings.

??      Project Coordination:

o  Assisting in the development and maintenance of the programme plan and Estates project plan.

o  Coordinating activities and resources across multiple projects.

o  Project Management of the Estates project with support from the Programme Manager.

o  Monitoring programme timelines, milestones, and deliverables.

??      Communication and Liaison:

o  Acting as a point of contact between the programme and project teams.

o  Facilitating effective communication within the team, organizing and coordinating meetings and workshops.

??      RAID Management:

o  Identifying potential risks, issues and dependencies affecting programme progress. Maintaining RAID logs, and following up on actions and documenting decisions.

??      Change Control:

o  Ensuring that programme deliverables meet the required scope and identifying changes by conducting reviews.

o  Ensuring any changes follow a Change Control Process.

??      Reporting and Analysis:

o  Collecting and analyzing data to support decision-making.

o  Working with the Programme Manager in preparing regular programme status reports and performance metrics.

o  Assisting with the preparation of presentations and summary reports for the Programme Manager and key Stakeholders. 

??      Documentation and Filing:

o  Maintaining organized and up-to-date programme and project documentation.

o  Ensuring proper filing and archiving of documents using SharePoint. 

o  Facilitating access to documentation for team members and stakeholders.

??      Governance:

o  Ensuring adherence to organizational policies and procedures and governance frameworks.


Overall, a Programme Support role is pivotal in ensuring that projects are well-coordinated, properly documented, and effectively communicated, thereby contributing to the successful delivery of project outcomes.
