Position Title: Executive Assistant
Department: Development, PV, Medical Affairs
Reports To (title): Vice President, Clinical and Medical Operations
Location: King of Prussia, PA (hybrid)
Summary of Position:
The Executive Assistant provides high level business and administrative support; is tenacious and resourceful with a talent for blending creativity and administrative abilities to achieve outstanding results. Enabling those that they support and their teams the ability to focus on core job functions and achieve the goal. Supports company operations by maintaining office systems, work space, and supports on-boarding of staff. In addition, supports leadership in executing project coordination as directed.
Position Responsibilities:
- Provides a broad variety of expert administrative support tasks for several Executives and their teams.
- Manages all calendar activities and needs; prioritizes time, meetings, and availability.
- Coordinates domestic and international travel, including: arranging all aspects of travel logistics, (air, hotel, ground transport, etc.) in compliance with the company's travel policies and prepares detailed itineraries from departure to return.
- Negotiates and arranges onsite and offsite meetings, including technology needs and catering as needed; and greet and coordinate activities for guests and other attendees.
- Assists with expense reporting, ensures compliance with all company policies and guidelines.
- Maintains office services by organizing office operations and procedures; controlling correspondence; maintaining office/kitchen supplies; reviewing and approving supply requisitions.
- Identify and resolve office operational problems and implement work process improvements, as needed.
- Supports recruiting and hiring by coordinating interview scheduling, ensuring on-boarding and orientation activities and assigning and tracking required training as needed
- Prepares and/or edits presentations, spreadsheets, standard reports, minutes for meetings and general correspondence. May assist in the distribution of same.
- Prioritizes conflicting needs; manages expectations; handles matters expeditiously and proactively, and follows-through on projects to successful completion, often with deadline pressures.
- Manages and treats highly confidential information professionally and with discretion.
- Provides backup coverage to support other Executives/teams as needed.
- Processes Purchase Orders and collaborates with PO Owners to maintain them.
- Supports KOL contracting process for Advisory Boards and other engagements.

Candidate Requirements:

- High school diploma or equivalent, college degree preferred or equivalent job experience.
- 7+ years' experience in an administrative support role, 3+ of those supporting VP- level leaders or above.
- Prior experience working for a pharmaceutical or biotechnology company, specifically supporting development or medical affairs is a plus.
- Ability to handle multiple assignments simultaneously and meet deadlines in a fast paced and complex environment with competing priorities. Demonstrates resilience when priorities change.
- Exceptional interpersonal communication both (oral and written), organizational and time management skills.
- Experience handling sensitive, confidential business matters and information with discretion.
- Adept at and have demonstrated experience and success interfacing with all levels of internal staff, external clients, and vendors.
- Attention to detail, flexibility, reliability, ability to exercise considerable judgment and discretion.
- Be an enthusiastic self-starter, who is resourceful and creative when solving problems.
- Strong sense of intuition along with the ability and willingness to learn.
- Ability to work collaboratively
Additional Information:
- Technology needs: Expert-level Skills in recent version of Microsoft Office software, specifically Outlook, Word, Excel, and PowerPoint, SharePoint and similar repositories, as well as Internet research abilities.
- Travel requirements (%): 5%, as needed.
