The primary responsibility of the Executive Assistant (EA) is to provide high level administrative and logistics support to the President/CEO and to organize, manage, and coordinate Board of Directors activities.
Additionally, the EA will be responsible for managing assigned events/projects, day-to-day communications, organization, and activities of the President/CEO's Office.This position interacts extensively with Board Members, the Executive Leadership Team, Management Team, community partners, and government officials as a representative for the President/CEO.
This position is under the direct supervision of the President/CEO.Essential Duties:
General:
Behaves in a manner that supports the agency's mission and follows personnel policies and procedures.
Administration:
Performs administrative and communication duties including drafting correspondence, scheduling meetings, and events, filing, records maintenance, electronic data management, faxing, mailing, photocopying, proofreading, transcribing, report generation, and financial monitoring in support of the President/CEO.
Provides back-up to other administrative staff when needed.
Maintains Notary Public for processing of legal documents and contracts for the organization and others as needed.
Purchases materials and supplies as needed.
President/CEO Support:
This position also supports the President/CEO at events and activities on and off site as required; advises the President/CEO, providing extensive professional assistance, manages schedules and calendars, project management, recommendations on organizational issues; and performs highly responsible and independent management work covering a broad range of activities in consultation with the President/CEO.
Board Support:
Responsible for the maintenance of Board of Directors membership information, organizing Board and Committee meetings, maintenance of electronic board portal, board meeting agendas and meeting minutes, tracking bylaw changes, and general administrative support to the Board of Directors and Board Committees.
Internal Communications:
Responsible to write and publish internal communications on behalf of the President/CEO.
Responsibilities may include drafting and revising materials for presentation, drafting and/or reviewing reports and correspondence; following up on issues and activities; and compiling and organizing information.
External Communications:
Writes and designs general correspondences, memos, charts, tables, graphs, business plans, public relations materials, and advocacy documents.
Conducts research and writes white papers as assigned.
Reviews all correspondence and materials produced in the executive offices for appropriate format, grammar, quality, and presentation as directed.
Independently communicates as needed with Board Members, legislators, and community partners on behalf of the President/CEO.
Special Projects:
Acts as a project manager for special projects as assigned by the President/CEO that may include planning and coordinating multiple presentations, provides logistical support for Board and Management team events, disseminating information, coordinating direct mailings, creating handouts and works with staff, volunteers, and vendors to achieve desired results as planned.
Quality Improvement:
Develops office procedures based on current and best business practice procedures in collaboration with the other administrative staff.
Minimum
Qualifications:
- High School Diploma or equivalent.
- Three (3) years experience in office management with at least two (2) years experience providing support at the executive level.
- Proof of current and valid Notary Public Commission at time of hire or ability to obtain within the first 12 months of employment and maintain thereafter.
Qualifications:
- Possesses and maintains a valid driver's license and daily access to an automobile.
- Possesses and maintains proof of no-fault insurance.
- Can obtain an acceptable pre-hire driver's abstract.
- Can obtain a criminal history check upon initial hire and twelve Preferred
