YOUR ROLE

As a Senior Administrative Assistant, you will provide administrative support for NORTAM Security Leadership team in the execution of highly confidential, complex, and sensitive matters. Models and acts in accordance with our guiding principles and core values.

WHAT ARE YOU GOING TO DO?

  • Prepare a variety of highly confidential, specialized, recurrent, and non-recurrent reports and documentation related to the department's function and the company's business activities.
  • Prepare, compose, and initiate accurate and timely correspondence, memoranda, presentation material and reports, choosing an appropriate means of communication.
  • Develop and maintain paper and electronic files, systems and procedures related to the administrative affairs of the department's function.
  • Maintain issue-specific files; ensure all filing systems are updated and maintained on a daily and weekly basis.
  • Perform a broad range of complex administrative functions of a highly confidential or specialized nature on a regular basis, requiring initiative and judgment to make independent decisions for which probable errors may have a moderate impact on expense.
  • Coordinate a variety of resources and obtain information for special projects and assignments.
  • Coordinate and schedule meetings, conferences, and appointments.
  • Coordinate and maintain executive's calendar.
  • Answer routine and non-routine telephone calls, providing information to callers, including senior management and key external sources.
  • Maintain confidentiality of all information.
  • Maintain awareness of departmental and organizational goals and objectives, and policies and procedures.
  • Make travel arrangements and process expense reports for senior management.
  • Process incoming and outgoing correspondence for postal mail and email.

Qualifications:

  • Demonstrated ability to compose, edit and proofread written documents (routine letters, business correspondence and reports of varying complexity.) Ability to produce error-free documents from rough draft involving a standard business vocabulary, or a limited range of specialized recurrent terminology.
  • Skilled in the creation of spreadsheets, elaborate reports, charts, graphs, and other word processing documents.
  • Excellent planning, time management, collaboration, decision making, organization, presentation and negotiating skills.
  • Knowledgeable of company policies, practices, and operations.
  • Flexible, able to balance multiple tasks and changing priorities and possess exceptional interpersonal skills.
  • Ability to display a strong sense of urgency and good judgment.
  • Excellent oral communications skills. Must be able to read, write and speak English fluently.
  • Ability to collaborate with internal and external resources, gain credibility with senior management, and manage through conflict with a positive, flexible attitude.
  • Ability to support team members in furthering departmental goals through open and honest communication, promoting team interests over self-interest.
  • Requires a high degree of integrity and the ability to maintain confidentiality.

Minimum:

  • High School Graduate or GED.
  • Minimum five years related experience.
  • Expert proficiency in Microsoft Office, including PowerPoint and Visio, internet, web-based and specific job related software applications.

Preferred:

  • Bachelor's Degree preferred or equivalent combination of work experience and education may be substituted for degree.
  • Minimum seven years industry experience
  • CAP (Certified Administrative Professional) or CAA (Certified Administrative Assistant
