Wake Forest University School of Medicine (WFUSM) Clinical & Translational Science Institute (CTSI) Office of Clinical Research Administrator provides direct administrative support for research-related activities at the institution. Ensures proposals are submitted in a timely manner, tracks approval process, follows up on grants/contracts signature, and sets up awards. Ensures efficient data management and provides guidance on grant and contract parameters. Manages compliance by working with IRB, IACUC, & COI. These responsibilities span all aspects of the grants/contracts award lifecycle and all elements of pre-award planning and evaluation of business processes.

Works as a member of a cohesive pre- and post-award, and contracts team, providing well-rounded support. Serves as primary customer service contact to clients (Principal Investigators, Department Administrators, sponsors, etc.) on a wide range of pre-award, post-award, contracting, and reporting issues.

The Office of Clinical Research (OCR) Pre-Award Contracts team provides legal and compliance review services to support the academic mission for clinical research. The OCR Administrator is responsible for ensuring accurate and compliant planning, negotiation, legal review, and reporting in clinical research services specializing in clinical research contracts and the Huron system.

EDUCATION/EXPERIENCE:

Administrator OCR I or II requires the following:

  • Bachelor's degree or an equivalent combination of education and experience.
  • One (1) year of experience from which comparable knowledge and skills can be acquired.
  • Pre-award, post-award or contracting skills preferred.
  • Medical terminology, knowledge of accounts payable and receivable processes preferred.
  • Minimum of 1-year Business Office experience in a healthcare environment or Research Office experience preferred.
  • Minimum of 1-year related coding/reimbursement experience preferred.

Administrator OCR III requires the following:

  • Bachelor's degree in Business, Law, Accounting, Finance or related field of study.
  • Two (2) years of experience in grant accounting, research administration, grant/contract application and review/negotiation and/or paralegal experience; or, an equivalent combination of education and experience.

Administrator OCR IV requires the following:

  • Bachelor's degree in Business, Law, Accounting, Finance or related field of study.
  • Three (3) years of experience in grant accounting, research administration, grant/contract application, review/negotiation, and/or paralegal experience; or, an equivalent combination of education and experience.
  • Master's degree or Juris Doctor (JD) preferred.

Administrator OCR V requires the following:

  • Bachelor's degree in Business, Law, Accounting, Finance or related field of study.
  • Five (5) years of experience in grant accounting, research administration, grant/contract application, review/negotiation, and/or paralegal experience; or, an equivalent combination of education and experience.
  • Master's degree or Juris Doctor (JD) preferred.

LICENSURE, CERTIFICATION, and/or REGISTRATION:

  • Certified Research Administrator (CRA) as granted by the Research Administrators Certification Council preferred.

ESSENTIAL FUNCTIONS:

  1. Supports faculty members and department administrators in the various stages of grant and/or contract life cycle.
  2. Demonstrates knowledge and understanding of institutional cost policies and multiple funding agency guidelines including federal, state, private foundations, and associations and the application of these policies to budgets for the various stages of the grant and/or contract life cycle is required. Demonstrates understanding of all systems and applications utilized for storage and retrieval of data.
  3. Understands the negotiation, documentation, and financial grants management process related to each stage of the grant and/or contract life cycle.
  4. Reviews financial information to ensure budgets and terms agree with grant or contract documentation and compliance with institution and granting agency requirements to provide assistance to stakeholders involved in the various stages of the grant and/or contract life cycle. Consults with supervisor as appropriate.

  6. Develops understanding of appropriateness of consultation with institutional management and/or Legal Department related to contract language, financial, and post-execution monitoring of agreements.
  7. Provides support and guidance to stakeholders for grants and/or contracts entered into by the institution. Demonstrates a basic understanding of concepts and principles of contracts and grants, with a strong desire and motivation to gain additional knowledge and expertise.
  8. Demonstrates knowledge and understanding to fulfill reporting requirements of grants and/or contracts awarded. Demonstrates strong communication skills with a desire to improve skills to provide good customer care.
  9. Represents and promotes the institution's research activities at meetings.
  10. Records, reports, reviews, and reconciles grant budgets and expenditures to ensure compliance with sponsor and institutional requirements and policies. Develops understanding of all systems and applications utilized for storage and retrieval of data.
  11. Maintains a positive working relationship with stakeholders and provides needed support during the grants and/or contracts life cycle.
  12. Assists and supports the formulation and implementation of policies and procedures relating to the administration of grants and/or contracts.
  13. Performs other related duties incidental to the work described herein.

SKILLS/QUALIFICATIONS:

  • Excellent oral and written communication skills and internal/external customer service skills, required.
  • Strong interpersonal skills and attention to detail.
  • Experience with computerized databases (e.g., Microsoft Excel), word processing (e.g., Microsoft Word), and presentation software (e.g., Microsoft PowerPoint).
  • Demonstrates ability to work independently.
  • Ability to understand, interpret and apply laws, regulations, and policies
  • Strong planning and organizational skills with the ability to manage multiple priorities/deadlines
