Responsibilities:

  • Issue and track customer units for services performed by external vendors, coordinating billing arrangements.
  • Coordinate the transportation of customer equipment to and from external vendors for calibration or repair.
  • Review customer purchase orders to determine required services.
  • Enter data to complete invoicing spreadsheets accurately, identifying any additional work performed beyond the original quote.
  • Respond to customer inquiries regarding job status, providing updates as necessary.
  • Perform various operational tasks to maintain workflow and meet quality standards.
  • Generate reports, schedule onsite events, and assist with overdue equipment retrieval.
  • Manage daily pick-up and deliveries, ensuring timely and efficient handling of equipment.
  • Package equipment according to established standards to prevent damage during transport.
  • Utilize FedEx and UPS systems for shipping and receiving, including operation of packaging machinery.
  • Organize and maintain electronic shipping documentation, manage packaging supplies, and facilitate orders.
  • Collaborate with service centers to expedite calibrations and provide updates on work orders.
  • Operate with a sense of urgency to address customer and operational needs promptly.
  • Participate in weekly team calls, following escalation procedures as necessary.

Qualifications

  • 1-2 years of material handling and/or customer service experience taking care of customer inquiries by phone
  • Proven understanding and use of MS Word, Excel, and Outlook including data entry experience.
  • Work efficiently in a collaborative team setting, show utmost care of equipment.
  • Must have excellent written and verbal communication skills.
  • Demonstrate excellent work ethic, punctuality, and multi-tasking skills.
  • Exhibits meticulous attention to detail and committed to producing accurate and high-quality work.
  • Able to work a flexible schedule with occasional overtime.
  • Experience using UPS, FedEx, management information system databases, or other CRM experience a plus.
  • Experience receiving, shipping, and packing equipment as well as coordinating/scheduling with UPS and FedEx World ship.
  • U.S. Citizen or U.S. Person status required.
