Job Details:

Purpose
The HR Associate will oversee the programmatic needs and day to day operations of the Dell Med Visitor process and the UTHA health screening coordination for visitors, employees, and researchers accessing clinical space.

Responsibilities
Coordinate and execute day to day activities and communications for the Dell Med Visitor and affiliate process, track progress and communicate issues/risks to ensure successful objective delivery.

Act as the liaison between UT Health Austin clinical care units requesting visitors and all other support departments involved in the workflow to triage visitors for access.

Manage the online application process and database tracking for all visitors.

Act as the Workday Supervisor for any Visitors/Learners requiring a UT Appointment. This includes ensuring UT Learn and UTIS trainings and modules are up to date.

Collaborate with enterprise teams such as Walk-In clinical team, and IT to achieve appropriate clearance for all visitors, staff, and researchers.

Demonstrate strong problem-solving skills with the ability to process complex information, break into logical steps/tasks to help solve defined problems, and present it clearly to a range of audiences.

Well-honed communications skills, ability to tailor messaging and style fluidly based on audience and topic.

Effective interpersonal skills necessary for working with diverse teams, treating all with tact, courtesy and respect.

Detail-oriented, excellent record keeping, and organization skills with strong follow-through and accountability.

Appropriately process and handle sensitive personnel paperwork, ensuring confidentiality at all times.

Provide excellent customer service to departments, faculty, and faculty applicants to maintain an excellent relationship with departments and community members.

Required Qualifications
Bachelor's degree and three years of experience performing administrative functions, with at least one year performing program management. Proven ability to exercise independent judgment; ability to exercise discretion, tact and diplomacy, ability to respond effectively within assigned deadlines; and excellent analytical and technical skills. Advanced proficiency in Microsoft Office software, such as Outlook, Word, Excel, PowerPoint. High degree of self-motivation and ability to work efficiently and flexibly in a fast-paced environment with minimal guidance. Excellent verbal and written communication skills with proven ability to effectively communicate with all levels of management and respond to staff tactfully, clearly and concisely. Outstanding organizational and time-management skills. Professional demeanor with tact and respect at all times. Ability to address individuals and information with a high degree of sensitivity and confidentiality in various situations.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications
Experience working in a start up environment. Experience at UT Austin and familiarity with policies, procedures, and University systems. Experience in healthcare or academic medicine. Experience with Smartsheet database management and automated workflows. Experience with process mapping software.

Salary Range
$45,000 + depending on qualifications
