This position is Non-Bargaining Unit.

Duties

The successful candidate will serve as the principle Administrative Assistant to the Director, Division of Resource Management, who reports directly to the Regional/Deputy Regional Administrator.

Duties include, but are not limited to:

  • Reviews, as appropriate, outgoing correspondence, reports, memoranda, etc., prepared for the signature, or concurrence, of the Director or branch chiefs, to assure the material has been proofread for grammatical and punctuation correctness, is complete, and conforms to the format, style and appearance required by NRC, office or division procedures.
  • Maintains the appointment calendar for the Director in the division and advises them of appointments, meetings, etc, and maintains the division calendar.
  • Prepares letters, memoranda, reports, and staff papers which may be of a highly technical nature in final form from rough drafts.
  • Manages systems for handling controlled correspondence and action items. Recommends changes to procedures for divisional correspondence systems to better facilitate the inward and outward flow of correspondence.
  • Receives incoming telephone calls and visitors to the division office. Determines the identity of the caller, nature of the call or visit, and priority in which the calls/visits should be handled by senior managers. Identifies which calls/visits should be referred elsewhere.
  • Coordinates with other administrative assistants within the Region to assure adequate administrative coverage.
  • Coordinates the submission of time and labor input within the division in the current agency reporting system, ensuring all payroll units are completed and certified within established time frames.
  • Serves as a liaison between the Director and other divisions, offices, or branches in administrative matters.
  • Serves as a mentor in the development of new administrative staff.
