JOB PURPOSE

The Warehouse & & Logistics Co-ordinator is responsible for leading and supporting the Warehouse and Logistics Manager and team. The role is integral to the efficient supervision and coordination of all activities relating to the warehouse, with specific responsibility for daily operations and for driving workplace practices that optimise efficiencies, reduce costs and ensure a safe working environment. The role also has responsibility for the provision of leadership and direction to direct reports, with a strong focus on people management and development, workflow planning and logistics management.

JOB OBJECTIVES

Duties of this role include but are not limited to the following:

  • Plan and manage daily operations alongside the warehouse & logistics manager for the department, including order fulfillment, warehousing, inventory management and transportation.
  • Ensure efficiency in all aspects of operations to ensure on-time delivery of product into stores, and accurate processing of stock into and out of the warehouse.
  • Provide visible leadership to develop a culture of safety and continuous improvement.
  • Supervision and people management of the warehouse team in the absence of the Warehouse & Logistics Manager, including mentoring, upskilling, performance management and planning professional development.
  • Proactively liaise and negotiate with local suppliers and freight forwarders. Coordinate deliveries into the warehouse; supervise the packing, loading and unloading of stock from trucks and pallets. Coordinate store allocation and replenishment processes, including picking, packing and scanning of stock for AUS and US stores.
  • Support with the creation of packing lists and commercial invoices.
  • Support with US warehousing processes including calculation of pricing for US invoices and arrangement of freight for US deliveries; including deliveries sent directly from suppliers to the US.
  • Work collaboratively with relevant department heads to strategically plan, manage and maintain storage of stock held for later release.
  • Proactively, support with and and maintain the efficient layout of the warehouse. Lead stocktake processes for the main warehouse location.
  • Oversee the receipt of stock from shipping documents and the picking and sorting of goods for processing.
  • Oversee the processing of invoices and receipt of stock sent directly from suppliers to the US warehouse into Shopify, ensuring utmost accuracy.
  • Proactively work with the Warehouse & Logistics Manager to manage documents for importing and exporting, including the preparation of required documentation and schedules, ensuring it is ready on time for port clearances.
  • Maintain Freight and Duty costings by style/shipment and distribute data to departments.
  • Manage DHL Express account, ensure all shipments are approved by the relevant department.
  • Ensure prompt distribution of incoming deliveries from DHL and other express couriers.
  • Arrange freight for the property team, or other head office departments, as required.
  • Assist the business with general freight enquiries.
  • Complete regular reporting, information and data analysis as required.
  • Work collaboratively with relevant Department Heads to support projects as required.
  • Ensure employees adhere to Scanlan Theodore's policies and procedures.
  • Perform other duties and responsibilities, as directed by the Chief of Staff or CEO.
