Purpose of the job

As an O&M Administrator, you will report to the Site Manager and support in a variety of different tasks for the daily operation of the site. Performs administrative duties related to site daily activities. Providing administrative support to site management and Human Resources. Responsibilities includes, executing administrative tasks, taking meeting minutes, managing calendars, coordination of visitors, ensuring management of orders and invoices in different O&M environments, management of user database, Non-Product Related supplies, managing events and calendars; meetings and event arrangements including cost claims; preparing basic reports and basic data analysis. Training other support staff; and customer relations.



Key responsibilities and challenges



Administration support for O&M Activities:

  • Ensure the proper implementation of the process and compliance with the standard process as defined by the Business.
  • Raise any issues related to the process and suggest changes or opportunities of improvement to reduce risk and improve performance.
  • Ensure the implementation of process at site/project level.
  • Document Control
  • Measure and monitor the sites MWBE performance.
  • Interface with high-level internal and external contacts and customers
  • Handle requests and queries appropriately
  • Maintain professional and personal agenda, arrange meetings and appointments, and provide reminders.
  • Produce reports, presentations, and briefs.
  • Develop and carry out an efficient documentation and filing system
  • Prioritize and manage different requests and plan your work independently

Office administration

  • Use computer word processing, spreadsheet, and database software to prepare reports, memos, and documents.
  • Sort incoming mail, faxes, and courier deliveries for distribution
  • Code and file documents according to the established procedures
  • Update and ensure the accuracy of the organization's databases.
  • Administration support for the purchase order process, supporting the O&M and Finance teams.
  • Reply to general information requests with accurate information Provide support to O&M management team meeting.
  • Prepare meeting agendas, minutes and supporting material for distribution

Preferred Qualifications



  1. Pass SIDA (Security Identification Display Area) Badge requirements.
  2. Proficient in all aspects of Office 365 and Outlook
  3. Strong communication skills


Qualifications



  1. Advanced computer skills
  2. Ability to develop and manage good working relationships with internal departments (production, sales, logistics, accounting), contractors, suppliers inspectors and customers.
  3. Must be able to manage multiple priorities and demands, while providing consistent and accurate feedback to direct reports
